JOB SUMMARY:
They Boys & Girls Clubs of Sonoma Valley seeks a dynamic and enthusiastic Athletic Coordinator (AC) who is passionate about youth sports and committed to fostering positive athletic experiences. Reporting to the Athletic Director, the AC will support & coordinate the execution of four 8–10-week athletic leagues annually and oversee critical aspects such as recruitment, scheduling, volunteer coordination, and program supervision. The ideal candidate will serve as a key liaison with families, coaches, and community sports organizations, ensuring seamless program delivery and a positive environment for all participants.
DUTIES AND RESPONSIBILITIES:
Program Coordination:
- Support and Coordinate team selection, scheduling, and overall coordination of athletic leagues.
- Ensure leagues operate smoothly, adhering to established rules and fostering a positive environment.
- Collaborate with coaches, volunteers, and families to facilitate effective communication and engagement.
- Develop and implement practice plans for multiple sports, ensuring a structured and developmental approach.
Volunteer and Staff Coordination:
- Assist with volunteer recruitment, processing, and compliance, including applications, background checks, and mandated reporter certifications.
- Provide training to volunteers and staff on league policies, procedures, and sport-specific rules.
Community and Marketing Engagement:
- Partner with the Marketing Team to design and distribute promotional materials such as flyers and banners.
- Actively promote the athletics program to internal and external audiences.
- Visit local schools monthly to conduct organized sports activities during school lunch periods.
Operations and Safety:
- Supervise practices, games, and league activities, ensuring the safety and well-being of all participants.
- Track attendance for players and coaches, maintaining accurate records.
- Ensure safety procedures, including responding to injuries, completing incident reports, and ensuring participants adhere to safety protocols.
- Maintain gym facilities, equipment, and supplies.
Other Responsibilities:
- Support discipline processes, communicating incidents and actions with the Athletic Director.
- Supervise members to ensure alignment with the Club’s philosophy and objectives.
- Foster positive relationships with youth, families, and community partners.
- Perform other duties as assigned, this may include supporting afterschool programming on non-league days.
REQUIRED QUALIFICATIONS:
- Bachelor’s degree in a related field or equivalent experience preferred.
- Availability to work evenings (programs typically run from 5 PM to 9 PM).
- Proficiency with Google Workspace (Drive, Docs, Sheets) and Microsoft Outlook.
- Experience in program development and implementation for youth ages 6–18, with a focus on athletics and recreation.
- Strong knowledge of multiple sports, including the ability to educate and support coaches, referees, and parents on league rules and expectations.
- Demonstrated ability to de-escalate crisis situations effectively.
- Knowledge of youth development principles and age-appropriate practices.
- Proven ability to manage data analysis, record keeping, and reporting.
- CPR and First Aid certification, or willingness to obtain.
- Successful completion of DOJ fingerprint clearance and the Sonoma Valley Unified School District’s Instructional Aide test (minimum score: 70%).
- Ability to lift or carry up to 50 pounds.
RECOMMENDED QUALIFICATIONS:
- Bilingual proficiency in Spanish preferred.
- Minimum of three years of experience in recreation, youth development, or managing athletic programs.
- Familiarity with the Boys & Girls Club Movement.
