Title: Parent Liaison
Department: Operations
Reports To: Club Director
Status: Part-Time, Non-Exempt

PRIMARY FUNCTION:
The Parent Liaison is responsible for determining membership eligibility for the Boys and Girls Club as well as member eligibility for all service grants. The Parent Liaison serves as the primary connection between the Club and the families it serves. This role is critical in fostering strong relationships, ensuring effective communication, and maintaining a safe, organized, and welcoming environment. The Parent Liaison is responsible for overseeing member check-in and check-out, managing family engagement, and supporting the Club’s daily operations.
KEY ROLES:
Parent Liaison Responsibilities
  • Oversee the daily check-in and check-out processes to ensure all members are safely accounted for.
  • Verify and ensure members are released only to individuals authorized in their pick-up records.
  • Address and resolve issues related to pick-up authorization or discrepancies.
  • Consistently enforce check-in and check-out safety protocols.
  • Maintaining and performing the membership processes and procedures at their individual club site, that will include but is not limited to answering membership questions, signing up new members, renewing current members, and tracking outlined information on all active members.
  • Maintain accurate attendance for Club and programs, ensuring completion by the end of each day.
  • Act as the primary point of contact for parents and guardians for updates, policies, and inquiries.
  • Communicate important information, such as programming changes and event details, through newsletters, emails, or direct messages.
  • Respond promptly to questions or concerns from families, ensuring clear and professional communication.
  • Notify parents promptly about any incidents or behavior reports involving their child and ensure these reports are completed accurately and submitted to the appropriate staff.
Organization Responsibilities
  • Positively promote the Boys and Girls Clubs of the Big Bend through, but not limited to: talking to potential members, current members, parents, community members, schools, and any form of media.
  • Participate in training sessions offered to develop knowledge of educational resources and techniques, and the Boys and Girls Clubs of America and the Big Bend.
  • Communicate with and support the Administrative and Executive Offices to continually enhance the level of services provided by the Boys and Girls Clubs of the Big Bend.
  • Follow organizational process to have needs or concerns addressed.
  • Promote understanding and acceptance of diversity with students, members, staff, and the community.
  • Create exciting learning opportunities for all members who participate in the Boys and Girls Clubs of the Big Bend and opportunities to demonstrate positive personal and social success.
  • Encourage member participation through enjoyment, challenge, and communication.

Supervision Responsibilities
  • Communicate with all staff to establish and enforce Club Norms and Expectations that all members and staff follow.
  • Confront and de-escalate all negative and/or inappropriate behavior exhibited by members, staff, and visitors.
  • Provide support to members and staff who confront negative and/or inappropriate behaviors.
  • Provide neutralization to all members to allow them to continue to participate in programs and activities.
  • Communicate member concerns and behaviors with staff and Club Director, and provide documentation when necessary.
  • Maintain visual awareness of all members at the beginning, throughout, and at the end of all program and activities each day.
Evaluation Responsibilities
  • Work with the Club Director in completing the Club Monthly Activity Report.
  • Work with the Club Director in maintaining accurate records of member attendance.
ADDITIONAL RESPONSIBLITIES:
As assigned by the Club Director
PROFESSIONAL RELATIONSHIPS
Internal: Maintain contact and communication with Club staff, volunteers, and Club members.
External: Club Director and the Administrative and Executive Offices of the Boys and Girls Clubs of the Big Bend.
SKILLS AND ABILITIES
  • Minimum of High School Diploma, some college preferred
  • Self-starters, who take initiative, are organized, and creative.
  • Experience working with youth in a teaching or supervisory role.
  • Knowledge and competencies in academic areas of language arts, reading, and mathematics, and in environmental areas of multiracial and multicultural backgrounds.
  • Ability to serve as a role model and leader to members.
  • Strong commitment to youth and families and a strong belief in their potential.
  • Professional demeanor and the ability to remain calm under pressure.
