Location: This role will shift locations depending on season. Costa Mesa, Irvine, Newport Beach, Santa Ana, and Orange
Part Time: $20-22 hourly; 22-25 hours per week
Position Description
The Athletic Coordinator is a part-time, permanent position reporting to the Director BGC Active of the Boys & Girls Clubs of Central Orange Coast (the “Club”). The Athletic Coordinator will work in concert with the Director of BGC Active to plan, organize, coordinate youth sports and recreation programs, and support with Triple Play and general physical activity policies for the Club.
A key role of the Athletic Coordinator will be to build and maintain relationships with all sites, youth, parents and community partners that will ultimately lead to high-quality programming at all Club Sites and school sites implementing the BGC Active initiative. During sports seasons, the Coordinator will oversee the day-to-day operations of leagues, while supporting the Director of BGC Active with Triple Play and general aspects BGC Active programming during the off-season. Additional duties will include, support with site visits, training for Triple Play & nutrition, and becoming a driver for BGC Active, requiring a Class B Commercial License certification.
The Athletic Coordinator should expect to generate reports as needed on attendance, programs, community involvement, outcome measurement, site visits and general program summaries. The Athletic Coordinator may be asked to support Resource Development efforts by providing key data, program descriptions, provide tours, provide success stories and support events.
KEY ROLES:
Leadership
- Coordinate the implementation and delivery of the Club’s Sports & Recreation strategy, ensuring accountability and a safe and positive environment for members, staff and volunteers. This will include league logistics, facility usage, and equipment usage.
- Support the Director of BGC Active with quality control of Triple Play and nutrition programming.
- Collaborate with staff, volunteers, parents, partners and other stakeholders to ensure resources are accessible, relevant, publicized and of the highest quality.
Strategic Planning
- In collaboration with the Director of BGC Active, assist in planning, developing, implementing and evaluating all aspects of the Club’s Sports & Recreation strategy.
- Compile regular reports reflecting all activities, attendance and participation metrics.
- Research, study and regularly evaluate best practices and strategies to improve quality of programming and increase impact. This includes regularly participating in professional development opportunities such as webinars, visiting other Clubs and attending workshops and trainings.
Resource Management
- Responsibly manage the budget; monitor and report variances in revenues and expenditures.
- Recruit, manage and provide guidance to volunteers, interns and partner agencies.
- Manage performance of volunteers and staff in achieving goals, ensuring that regular feedback is provided and implementing corrective action when necessary.
- Ensure administrative and operational systems are followed to maintain the operation of the physical properties and equipment of the Club.
Partnership Development
- Develop and manage collaborative partnerships with Club Sites, members, parents and stakeholders.
- Develop and maintain relationships with relevant community partners as the lead staff of the Club’s Sports & Recreation strategy.
- Engage and support community events, community partners, neighborhood associations, parent groups, committees and groups that will raise awareness of the Club, enhance programs or support the mission.
Marketing and Public Relations
- Develop and maintain public relations to increase the visibility of programs, services and activities within the Club and the community.
- Provide success stories, program highlights, partner updates and as requested.
Additional Responsibilities:
- Purchase or approve purchase of supplies and equipment for programs.
- Manage and maintain program areas such as the gym, field and outdoor courts and repair and replace equipment as needed to ensure high-quality and safety of programs.
- Obtain a Class B Commercial License to be able to drive members for BGC Active initiatives as necessary.
- Maintain a professional appearance at all times in a manner reflective of the high standards of the Club.
RELATIONSHIPS:
Internal: Maintains close, daily contact with Club professional staff to interpret and explain program objectives and standards, discuss issues and provide/receive information. Maintains contact with site leadership and has regular contact with members as needed to discipline, advise and counsel.
External: Maintains contact with external community groups, schools, members' parents and others to assist in resolving problems and to publicize Club.
Qualifications:
- Must have a high school diploma or GED. Kinesiology, Physical Education, Sports Management and/or youth recreation background preferred.
- Minimum of one (1) year experience working with youth sports and/or recreation programs.
- Must be able to communicate effectively with youth and Boys & Girls Club families.
- Must be able to work nights and weekends, and a flexible schedule is highly desired.
- Must be well-versed in Google Drive, SharePoint, etc. for enrollment and data tracking
- Ability to read and interpret documents such as safety rules, maintenance instructions, and procedure manuals.
- Ability to write reports and interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Ability to relate effectively to diverse groups of people from all social and economic segments of the community both individually and in a group setting.
- Ability to handle difficult situations calmly and professionally.
- Must have clean driving record.

Performance Objectives – Deliverables

- Sports & Recreation strategy: In collaboration with the Director of BGC Active, develop a Sports & Recreation strategy to ensure that a variety of sports leagues are offered at each Club site, including a clear plan, timeline, and budget. Find and research best practices and prepare an updated strategy and timeline.
Within 30 days, deliver a summary report of your short-term strategy to plan, strategize and execute the Sports & Recreation Strategy.
Within 90 days, deliver a summary report of your research, conclusions and formal strategy for the Sports & Recreation strategy. This formal strategy should identify specific goals, timelines and milestones.
- Class B Commercial License with Passenger Endorsements: Develop a timeline for the successful completion of all tests and instruction required for the obtainment of a California Class B Driver License with Passenger Endorsement and Youth Bus Certification.
Within 90 days, complete testing and instruction required for Class B Commercial License.
Within 180 days, complete testing and instruction for Youth Bus Certification.
Salary : $20 - $22
