Role: Front Desk Office Manager

Reports to: Clubhouse Director

Location: Waianae Clubhouse

Hours: M - F 40 hrs./wk.

Pay: $18.00/hour

About BGCH

The mission of Boys & Girls Clubs of Hawaii is to enable all young people, especially those who need us most, to reach their full potential as productive, caring, responsible citizens. The after-school hours have become a critical time for youth – a time when many children in our communities are left to fend for themselves without positive adult supervision. We provide a safe place filled with hope and opportunity, ongoing relationships with caring adult mentors, and enriching programs.

 

The Front Desk Coordinator position is responsible for the various daily functions, which include but are not limited to answering telephones, typing, computer data input/entry, duplicating and filing, maintaining office equipment and supplies, setting up and maintaining employee files and documents, and following all BGCH policies including handling cash receipts and deposits. 

 

 

Who you are

  • On your resume.  You have a high school diploma AND two years of administrative assistant, secretarial, and/or office experience OR graduated from a business school or have an Associates or Bachelor’s degree AND one year of administrative assistant, secretarial, and/or office experience.
  • Greet everyone with a smile, enjoy talking with others, and enjoy working in an environment where there are many children. 
  • Possess good grammar and punctuation.  
  • Organized and detail-oriented. Have good filing skills and can work for prolonged periods of time at high levels of activity, managing multiple tasks with varying deadlines. Can write clear and concise reports, letters, memos, etc.     
  • Communicate and work effectively with those around you with diverse ethnic and socioeconomic backgrounds.
  • Bring positive energy to the Clubhouse and understand that there is a balance between work tasks and having a good time. 
  • Can work flexible hours and days. You can take on issues as they arise and can work even in the face of frequent interruptions. 
  • Want to make a difference in the lives of our amazing youth. Come to the Clubhouse with purpose and drive that you share with those around you. 
  • Self-Directed. Can work independently with limited supervision. 
  • Can operate a personal computer and use Microsoft Suite, Google Suite and database management programs.

 

What you’ll do

  • Welcome and greet all who enter the Clubhouse.
  • Answer the phone by the third ring.
  • Manage KidTrax database.
  • Filing and Digital Storage: Daily sign-in sheets, activity sheets, requisitions, etc.
  • Process donations, correspondence, letters, schedules, marketing materials, etc.
  • Close out money at the end of the day.
  • Process member payments.
  • Keep the desk area clean and organized.
  • Manage and order office supplies (paper, print cartridges, copy machine, etc.)            and Clubhouse supplies (toilet paper, paper towels, soap, sani-wipes, etc.)
  • Follow BGCH cash policies.
  • Responsible for collection of data, tracking and/or supervises data management          input and maintenance of computer records, systems and files (i.e. KidTrax).
  • Plan and implement program activities with youths as needed.
  • Provides Clubhouse Director with reports as required.
  • Prepares and makes bank deposits, and related bank reports.
  • Attends all required Advisory Board and Management meetings.
  • Attends all scheduled staff meetings.
  • Assists Clubhouse Director/supervisory staff with timecards and payroll              information.
  • Supervises youths, and community partners.
  • Assists with the supervision of all volunteers.
  • Supervises and manages club front desk functions. 

Additional responsibilities-performs other duties as assigned to ensure the       success of programs under their jurisdiction. 

 

Program Planning & Implementation

  • Assists supervisor in planning and implementing special activities (i.e. field trips and excursions)
  • Works with other Club staff members to implement collaborative program activities.
  • Assists with orientation of all new Club members and parent/guardian regarding Clubhouse rules and regulations. 

 

Guidance

  • Assists in providing guidance to all youth members in making positive choices for proper behaviors.
  • Assists all youth with following Club rules and reinforce prosocial behaviors.
  • Assists in providing guidance for youth members dealing with unacceptable behaviors utilizing techniques that help youth accept personal responsibilities for their behavior and develops a positive plan of action for change. 

 

Marketing & Community Relations

  • Assists in promoting and stimulating interest and participation of Club members. Assists with the posting of daily program schedules that are creative and     attractive.
  • Assists with preparing flyers, mail outs, etc, to advertise and promote    program(s) and to recruit new members.
