Position Title: Office Assistant
Salary: Based on experience and education
Reports to: Director of Club Services
Status: Monday-Friday Flexible 10am- 6pm (26-28 hours a week)
Position Summary: The Office Assistant is responsible for supporting the daily operations of our membership desk and reception area of the Boys & Girls Club of Sparta, answering phones, data entry, filing, scheduling membership services, maintaining membership applications, establishing systems for new & renewal memberships, payments & attendance records; answering questions of parents & community members, and receipts of incoming money. Additional responsibilities will include assisting leadership team staff with office work, reports, and other daily duties.
Office Assistant Responsibilities:
· Answers the telephone professionally, provides the information needed by the caller and/or directs them to the appropriate person, and handles phone messages when applicable.
· Professionally greets visitors as they enter the building, providing necessary information and/or directing them to the appropriate staff member.
· Ensures the front desk area is organized and tidy with current Boys & Girls Club information available for guests
· Is knowledgeable and trained to maintain the Membership Tracking System by processing all new and renewal memberships accurately and timely; secures missing information where possible to record attendance of youth & staff
· Maintain daily, weekly, and monthly data and membership reports as needed for program support and funding requirements.
· Collect membership fees, tuition, and payments and issue paid receipts.
· Ensure Club families are current with their membership fees throughout each season.
· Secure all monies collected.
· Assists in processing donations.
· Processes other data when applicable, such as special event attendees, mailing lists, board lists, volunteer lists, etc.
· Generates mail merges for membership mailings, mailing labels, seasonal cards, invitations, etc.
· Complete grant and program reports accurately and timely as assigned.
· Assist with donor data entry and database updates as needed.
Additional Responsibilities:
· Participation in special programs and/or events as needed.
· Assist with or complete special assignments or other duties as deemed necessary.
· Provide enthusiastic leadership and role modeling when working alongside young people.
· Model appropriate behavior and language as per Boys & Girls Club Policy.
· Enforce Club rules and Code of Conduct with members.
· Attend staff meetings when requested.
Skills/knowledge required:
· Knowledge of computers and software, including Microsoft programs, accurate data entry, etc.
· Strong verbal skills and ability to speak clearly and professionally.
· Ability to organize and coordinate various demanding tasks and responsibilities and to troubleshoot with limited supervision.
· Ability to work in a fast-paced environment where children are present.
· Strong interpersonal skills.
· Strong communication skills both verbal and written.
· Ability to grasp and follow the mission, policies & procedures of the Boys & Girls Club of Sparta.
· Understanding of and possess the ability to share the Club’s philosophy.
· Self-starter with excellent organizational skills with the ability to manage multiple assignments, prioritize, manage time effectively and efficiently, and complete tasks within deadlines.
Physical Requirements
This position requires the ability to handle and organize a multitude of tasks. This position is mostly sedentary in nature, but some lifting, carrying, walking, and standing are to be expected. The incumbent may be required to lift up to 30 pounds. Ideal candidate will possess a valid driver’s license and have the ability to pick-up supplies, donations, and equipment on any given day.
