Summary of Position :
Lead payroll operations, ensuring accuracy, compliance, and efficiency in all payroll and retirement plan functions. Prepare and disburse BGCB’s bi-weekly payroll for approximately 200 full-time and 200 part-time and seasonal employees, using UKG Pro. Provide payroll and financial support while delivering excellent customer service to internal and external stakeholders, ensuring accurate payroll processing in compliance with organizational policies and applicable laws.. Manage the paperwork and deductions for the 403(b) retirement plan.
Essential Duties and Responsibilities :
Payroll Processing & Compliance
Process bi-weekly payroll accurately and on time, ensuring compliance with all policies and regulations.
Review and verify non-exempt employee timesheets in UKG for accuracy and compliance with labor laws.
Enter and maintain payroll records, including new hires, terminations, and status changes.
Investigate and resolve payroll discrepancies to ensure accurate earnings calculations.
Perform quality reviews of payroll data, verifying statutory withholdings and voluntary deductions.
Process off-cycle and manual payroll checks as needed.
Payroll Systems & Reporting
Maintain accurate payroll records and reconcile payroll accounts.
Prepare payroll-related reports, journal entries, and workers’ compensation filings.
Act as the primary liaison with the external payroll processor.
Oversee payroll system updates and upgrades, providing training as needed.
Generate and distribute year-end tax documents, including W-2 and ACA statements.
Retirement Plan & Benefits Administration
Manage 403(b) payroll deductions and ensure timely, accurate contributions.
Administer taxable fringe benefits in compliance with IRS regulations.
Work closely with The Office of People and Culture to ensure accurate benefit deductions and recordkeeping.
Internal Controls & Compliance
Ensure payroll processes adhere to labor laws, tax regulations, and organizational policies.
Develop and enforce strong internal controls to safeguard payroll and retirement plan processes.
Conduct payroll audits to identify risks and drive continuous improvements.
Maintain confidentiality of payroll and employee information.
Audit & Financial Support
Assist in annual audits, including financial statements, 403(b) plan, and workers’ compensation.
Support the CFO and Controller in administering base pay, raises, and bonus programs.
Collaborate with The Office of People and Culture and Accounting on payroll-related matters.
Assist with regulatory reporting and month-end, quarter-end, and year-end financial close processes.

Position Requirements (Education, Experience, Knowledge, Skills, Abilities, Work Demands) :
Associate’s degree required; Bachelor’s degree preferred in a related field, 5 years related experience
FPC or CPP certification preferred
Strong time management, independent problem-solving, and decision-making skills, with the ability to recognize when to escalate issues. Effective and efficient communication and customer service with all levels of staff and management.
Outstanding attention to detail.
Maintain confidentiality of all payroll and other sensitive information.
Application of common sense to everyday tasks, review of own work for accuracy and completeness, analysis of existing procedures and processes
Intermediate proficiency with MS Office Excel, Word and Outlook is required; experience with UKG and Microsoft Dynamics, is preferred
