Work hours: 9am-6pm Monday-Friday, may work extra hours if needed.

This is an LTE Grant Funded position through the Dane County School Consortium. The end date for this position is June 30th, 2026.

POSITION SUMMARY & OVERALL OBJECTIVES

The Student Success Coach is responsible for working with BGCDC participants at the McKenzie Regional Workforce Center to support youth in participating in work-based learning programs, including program entry, placement, resources to support the youth experience, and successful completion of a Youth Apprenticeship. The Coach is responsible for outreach and coordination with local businesses and individuals to recruit Youth Apprenticeship employers, conducting Youth Apprenticeship placement meetings, and communicating regularly to support Youth Apprenticeship sites. The Coach will support the W.I.O.A In School Youth (ISY) program by assisting in enrolling eligible participants into programming that will provide funding for supportive services and work experience training.

This position will also coordinate and provide student support services including resume coaching, job search & career readiness training, monitoring youth progress and participation, and case management. Working collaboratively with partnership staff is key in this role. The Student Success Coach is also expected to be flexible and adaptable, taking on other duties assigned to support the overall objectives of the organization.

ESSENTIAL DUTIES AND RESPONSIBLITIES The fundamental, crucial job duties; the functions the position exists to perform.

Planning & Implementation

  • Plan and implement developmentally appropriate, engaging activities for teens (16-18 years of age) utilizing CareerForce Build UP! and Boys & Girls Clubs of America Curriculum as needed.

Collaborate with program partners to facilitate workforce discussions for students, demonstrations, and workforce-related programmatic activities in BGCDC clubs, local schools, and organizations around Dane County

  • . Communicate regularly with stakeholders, including internally with BGCDC staff and with DCSC Staff and Workforce Development Board of South Central Wisconsin staff regarding student engagement and enrollment objectives
  • Determine WIOA eligibility through reviewing information in application and verifying accuracy and completeness of documents, and facilitate WIOA student assessment requirements
  • Establish professional culture expectations within school district to reflect effective principles of collaboration, transparency, and accountability
  • Coordinate with school personnel and other education partners to align the career readiness curriculum, experiential learning opportunities, and overall student support
  • . Organize opportunities to connect students to events that exist within career programming inside and outside of school time
  • Work closely with DCSC staff to maintain participant case files in compliance with WIOA program regulations and requirements, and maintain accurate and updated case notes for each participant
  • . Actively participate in Monthly DCSC School-to-Career meetings and WDBSCW Youth Team meetings, as well as all other relevant BGCDC & partner meetings to this role
  • Track and collect member data, including but not limited to enrollment rate, major, financial gaps, challenges faced, and engagement, and utilize monthly data reports to refine programming
  • Build and maintain relationships with employers to recruit and retain Youth Apprenticeship hosts, ensuring that they provide quality training and mentorship for participating youth.

Maintain Safe Environment

  • Join in the transportation of students to and from the workforce center to participate in programming
  • Ensure the safety of members and the environment through sight and sound supervision and maintenance of equipment.
  • Ensure the safety of members and the environment through volunteer management in alignment with policies by the Boys & Girls Clubs of America, Boys & Girls Clubs of Dane County, and other applicable regulatory bodies
  • Maintain an environment that is supportive to volunteers and supports partnerships with community organizations in alignment with Boys & Girls Clubs of America, Boys & Girls Clubs of Dane County, and other applicable regulatory bodies

. Responsible for making sure all classrooms are prepped for class and cleaned up afterward in preparation for next-day activities.

Prepare Youth for Success

  • Develop an Academic and Career Plan (ACP) for each youth apprentice to ensure that all graduation requirements will be met
  • Determine which related instruction options are available and appropriate for each youth apprentice Provide coaching, mentoring, and support through continued contact and meetings with members to encourage continued enrollment, address personal and academic barriers, and prepare for workforce readiness.
  • Collaborate with appropriate school departments and student services to establish partnerships that will enhance the academic, social, emotional and personal development and success of student Coordinate student access to supportive services (e.g., tutoring, transportation, career counseling) through W.I.O.A., ensuring they have the resources needed to succeed in work-based learning programs.

Career Readiness

  • Facilitate Career Readiness (STEPS) Workshop Curriculum to cohorts of eligible participants to help prepare for future Youth Apprenticeship placements

. Provide resume coaching and career readiness training to students, ensuring they are well prepared for job placements and career advancement opportunities.

  • With support from DCSC staff, obtain and monitor Work Experience and Youth Apprenticeship placements for all students according to established procedures
  • Actively recruit both eligible students and employers for the Youth Apprenticeship program.
  • Facilitate the placement of youth apprentices with local businesses and ensure successful matches between students and employers, including conducting placement meetings, evaluations, and support to employers and youth
  • Maintain regular communication with employers and students to track progress, assess work performance, and ensure apprenticeship hours are being completed. Conduct monthly check-ins to monitor performance and resolve any concerns.
  • Communicate regularly with employers to ensure successful placement and ongoing support for participants.
  • Work in partnership with the employers and apprenticeship centers to identify, support, and build relationships with students that plan to/are enrolled in these institutions

Additional Responsibilities

  • Ability and willingness to work occasional evening and/or weekend hours as needed.
  • Support Boys & Girls Clubs special events including Youth of the Year, College Decision Day, Move’N’Groove4BGC
  • Participate in special programs and events as assigned by supervisor
  • May drive Club vehicles as assigned
  • Other duties as assigned to support the mission and vision of the Boys & Girls Clubs of Dane County

BUDGET RESPONSIBILITIES

Responsible for fiscal stewardship of organizational and grant-provided funds and assist in accurate tracking of financial transactions.

RELATIONSHIPS Internal and external relationship essential to the role.

Internal: As an integral part of our team, you will maintain close, daily contact with Club staff (both professional and volunteer), Club members, and your supervisor. This continuous communication ensures the seamless exchange of information, facilitates discussions on pertinent issues, clarifies guidelines and instructions, provides instruction and guidance, and offers counseling when necessary.

External: Externally, you will maintain contact as needed with various community groups, schools, members' parents, and other stakeholders to foster collaborative relationships and assist in resolving any arising issues. By actively engaging with these external partners, you contribute to creating a supportive network and ensuring the well-being of our members within the broader community.

KNOWLEDGE, SKILLS, AND ABILITIES The objective and measurable knowledge, skills, and abilities an employee must possess to successfully perform this job

  • A minimum of 2 years experience working in a non-profit organization, high school, school district, or career and workforce development program
  • Experience teaching career development curriculum preferred
  • Experience working in student case management
  • Bilingual Candidates (Spanish Language) are highly encouraged to apply.
  • Flexibility, adaptability, and desire to work in a team environment.
  • Strong verbal, written, and communication skills.
  • The ability to travel throughout Dane County. Must have a valid Driver’s License and insurance if using a personal vehicle.
  • Experience collaborating with and/or across multiple teams, or working in a community partnership model strongly preferred
  • Strong organizational skills and ability to manage multiple projects and deadlines concurrently
  • Ability to build positive working relationships with BGCDC staff, board members, volunteers, members, partners, and stakeholders
  • Intermediate level of proficiency in Microsoft Office Suite, G-Suite, and Zoom
  • Demonstrated ability to build rapport with students

EDUCATION AND EXPERIENCE

The required minimum allowable education and experience, based on job-related requirements. Include licensing and certifications if applicable

. At least 21 years of age

  • High School Diploma/GED/HSED required
  • Associates degree preferred
  • A minimum of 2 years experience working in a non-profit organization, high school, school district, post-secondary institution
  • 2 years direct service experience with youth in a non-profit or educational setting, preferably at the high school level
  • Experience building relationships with students and staff of all ages from diverse ethnic, cultural and economic backgrounds
  • Experience collaborating with and/or across multiple teams, or working in a community partnership model

REQUIRED HOURS

Typical working hours, including required holidays and travel. This position is classified as exempt and full-time regular, requiring availability to fulfill the essential duties of the role, which may include working on holidays, weekends, and evenings as necessary. The position requires occasional travel to off-site Clubs, meetings, and events. Typical Working Hours are 9:00am-6:00pm daily.

Ability to read and interpret documents such as safety rules, operating instructions, and policy manuals. The ability to clearly and concisely exchange/receive ideas, facts, and/or technical information with others. Ability to visually monitor the activities of club members. The employee must use hands to handle or feel and reach with hands and arms. The employee must frequently stand, walk, climb, balance, stoop, jump, kneel, crouch, or crawl. The employee is occasionally required to sit. The employee may occasionally lift or move up to 20 pounds. Activities occur in an indoor and outdoor setting.
