Position Overview:
The Marketing and Event Coordinator will play an integral role in the planning, marketing, and execution of BGCM’s major fundraising events. The individual will collaborate closely with the Vice President of Development, COO, and CEO to ensure seamless event logistics, the promotion of events, and the strategic execution of marketing campaigns to increase visibility, attendance, and fundraising outcomes. The ideal candidate will be highly motivated, energetic, forward-thinking, and possess strong communication and organizational skills. They will be an essential team member in driving BGCM’s mission forward by successfully coordinating and marketing events.
Requirements
Key Responsibilities:
Event Coordination:
- Assist in the planning, coordination, and execution of major fundraising events, including but not limited to annual galas, golf tournaments, auctions, and community outreach programs.
- Work with event committees, volunteers, vendors, and sponsors to ensure smooth event logistics, from concept development to post-event follow-up.
- Manage event timelines, budgets, and schedules, ensuring all deadlines and goals are met.
- Coordinate with the marketing and creative teams to develop promotional materials, event branding, and media kits.
- Oversee venue selection, event setup, and troubleshooting to ensure an engaging and high-quality guest experience.
- Track event metrics, including attendance, donations, and media coverage to evaluate success and provide recommendations for future events.
Marketing and Promotion:
- Develop and implement strategic marketing plans for each event to maximize visibility, attendance, and donations.
- Create engaging digital content (social media, email newsletters, web copy) to build awareness and excitement for events.
- Leverage social media platforms, website, and email campaigns to engage key stakeholders, donors, and the community.
- Cultivate relationships with media partners and influencers to gain press coverage and additional event exposure.
- Assist in the creation and distribution of event-related communications (press releases, invitations, thank-you notes, etc.) to targeted audiences.
- Collaborate with the development team to ensure event branding and messaging align with BGCM’s mission and values.
Collaboration & Stakeholder Engagement:
- Work closely with the Vice President of Development to align event goals with the organization’s fundraising objectives and ensure a high level of donor engagement.
- Collaborate with the CEO and COO on event strategy, goals, and overall impact.
- Build and maintain relationships with sponsors, donors, and partners to increase support for BGCM events.
- Provide regular event updates and reports to leadership, keeping them informed on event progress and key performance indicators.
General Administrative Support:
- Manage event registration systems and track RSVPs, ticket sales, and guest lists.
- Handle administrative tasks related to event execution such as securing permits, organizing event-day staff, and managing event databases.
- Monitor and report on marketing campaign performance, making recommendations for continuous improvement.
Skills & Qualifications:
Communication: Exceptional written and verbal communication skills with the ability to communicate clearly, persuasively, and with enthusiasm to a wide range of audiences.
- Detail-Oriented: Strong attention to detail, with the ability to manage multiple projects simultaneously while maintaining accuracy and organization.
- Event Management: At least 2-3 years of experience in event planning, coordination, or related field. Experience in fundraising event planning is highly preferred.
- Marketing Expertise: Solid knowledge of digital marketing, including social media strategies, email marketing campaigns, and content creation.
- Energy & Passion: High energy, a positive attitude, and a strong passion for supporting the mission of BGCM. Must be proactive, innovative, and forward-thinking with a strong desire to elevate events and marketing efforts.
- Team Player: Ability to work independently and collaboratively in a fast-paced environment, managing both internal and external relationships.
- Technology Proficiency: Proficient in Microsoft Office Suite, social media platforms, email marketing software, and event management tools. Experience with donor management software (e.g., Raiser’s Edge, Donor Perfect) a plus.
- Flexibility: Availability to work evenings, weekends, and event days as necessary.
Education & Experience:
- Bachelor’s degree in marketing, Communications, Event Planning, Public Relations, or a related field.
- 2-3 years of experience in event coordination and/or marketing, preferably in a nonprofit or fundraising environment.
Physical Requirements:
- Ability to lift and carry event materials (up to 25 pounds) as necessary.
- Ability to stand for long periods during events.
