Boys & Girls Clubs of Northwest San Diego Foundation is looking for a detail-oriented, organized Grant Coordinator with excellent grant reporting/writing ability!

Because this position requires engagement on-site for at least the first 90 days of employment, only candidates who are local in San Diego are being considered. Also, submission of BOTH a resume and cover letter is desired for full consideration.

This full-time position is based at our Harper Clubhouse in Solana Beach, California. The role is a 40-hour work week, 10am- 6pm Monday through Friday. Upon successful completion of a 90-day in-person Introductory Period, remote hybrid schedules may be discussed.

Following a merger in July 2024, our organization now consists of about 230 staff during the school year and over 300 in the summer. We have a main Operating Club, which runs before/after school programs, and a Foundation, which is focused on fundraising, donor relations, and event management. This position works within the Foundation and reports to the Grant Manager.

Under the direction of the Grant Manager, this position is responsible for grant reporting and invoicing, post-award coordination of all grants, post-award budget development, and support for program staff in charge of grant-funded projects and some grant writing. The Grant Coordinator serves as a liaison with community members and grantors. As the primary staff person in the grants department who manages the reporting of the grant to the grantor, this individual will collect all metrics and conduct reporting based on the scheduled grant timing.

Your Key Job Responsibilities would include:

  • Collect data from program staff, design and implement systems to collect such data, and work with marketing to celebrate the impact and the impact of the grant.
  • Act as the lead manager for all grant processes, including training, supervision, evaluations, and documentation, to ensure compliance with funder guidelines. Provide training to program staff on managing expenses and tracking impact metrics.
  • Additionally, develop forms, processes, procedures, and measurement tools to facilitate the implementation of grants.
  • Provide analytics, and metrics for successful grant impact. Create a monthly calendar of financial expectations.
  • Monitor grant reporting and billing requirements, ensuring all deadlines are met.
  • Lead and participate in meetings and workshops for the purpose of conveying and/or gathering information required to perform essential grant functions.
  • Conduct site visits at our various Clubhouses to assist with grant management and implementation, providing written feedback on both strengths and areas of need.
  • Research, identify, and secure grant funding to meet the needs of the organization utilizing Instrumentl grant management software and grant-prospecting tools
  • Build relationships, provide stewardship to current funders, and create annual goals to meet new funders.
  • Write grant applications and provide related documents for the purpose of submitting to grant funding agencies.
  • Assist in updating and maintaining information in Instrumentl grant management software
  • Collaborate with the marketing department to fulfill requirements as per the grant, i.e., social media, press releases, newsletter, photos, etc.
  • Assist with planning and implementing fundraisers and special events as needed.
  • Arrange, host, tour, meet, and prepare presentations for grant contacts.

Minimum Qualifications

Education

  • Bachelor’s degree required.

Experience

  • Minimum one year of grant writing experience required, AND/OR
  • Minimum one year of grant-reporting experience required
  • Demonstrated experience in successfully meeting deadlines
  • Superior written and oral communication skills, especially in public speaking; ability to write clear, structured, articulate, compelling, and persuasive proposals
  • Strong math and budgeting skills
  • Strong organizational and planning skills, including demonstrated ability to successfully maintain records
