Primary Function:


As an integral part of the fundraising team, the Donor Relations Manager will cultivate, steward, and expand the relationships between the organization and its donors at all levels, by providing extraordinary service to donors and exceeding expectations in the areas of maintaining and managing donor information. The Donors Relations Manager will be responsible for the management and operations of the Raiser's Edge database performing functions in the areas of biographical data maintenance, gift processing, acknowledgements, reporting, solicitations and communication mailings.


Key Roles (Essential Responsibilities):


DATABASE MANAGEMENT RESPONSIBILITIES


  • Manage acknowledgement of all donor donations and pledges by written correspondence
  • Audit and ensure accurate recording of corporate, direct mail, tele funding, individual and event gifts and pledges, employer matching contributions and credit card billing
  • Process and mail receipts and acknowledgments, and other donor communications as required; devising systems where necessary
  • Design and execute queries, exports and reports using Raiser's Edge, in conjunction with MS Office tools
  • Pull data and create reports to aid in analysis of donor retention, appeal response analysis, progress to annual goal and extractions of data from the database for analytical purposes
  • Maintain accurate and up-to-date donor contact and biographical information. Perform basic research on individuals, companies and foundations, through free online services. Create profiles and call sheets as requested. Implement coding and create reports to aid in prospect management
  • Design and execute data integrity projects including returned mail, address updates, merge and inactivation processes
  • Participate in development of best practices and documentation in maintaining accurate database records
  • Document policies and procedures related to gift processing and the database
  • Stay knowledgeable of software changes and features though investigation, training and documentation review. Serve as software trainer and trouble shoot for staff.
  • Act as liaison to finance department in monthly reconciliation of gift and accounting records.



STEWARDSHIP RESPONSIBILITIES


  • Manage donor stewardship initiatives and coordinate interoffice department responsibilities
  • Maintain file of press clippings of donors as provided or sourced by organizational staff
  • Identify donor to be highlighted in semi-annual newsletter, annual reports, and other materials as needed. Compile information and details of contribution to highlight in publication
  • Provide excellent and timely customer service to external customers who request information including recent and past donations and other donor records
  • Identify and create needed template correspondence for various donation levels and occasions
  • Participate in benefits and gift fulfillment
  • Provide donor history and records to development and executive staff as requested
  • Coordinate Holiday gift distribution for major donors
  • Assist in donor cultivation and stewardship events as needed

Relationships:


  • Internal: Maintain close, daily contact with staff and VP of Philanthropy to receive/provide information, discuss issues, explain guidelines/instructions; instruct; and advise/counsel.
  • External: Maintain contact and build relationships with donors, Board of Directors, external staff, volunteers, and others to assist in mission advancement including recruitment, management and stewardship. Recruit and supervise interns as needed.

Skills & Knowledge Required:


  • Bachelor's degree from an accredited college of university, or equivalent combination of education, training and work experience
  • Proficient in Blackbaud Raiser's Edge or other comparable customer relationship management system
  • Excellent computer skills (Work, Excel, PowerPoint)
  • Must be detailed-oriented
  • Strong verbal and written communication skills
  • Excellent interpersonal skills and the ability to work well with all types of people
  • Ability to establish and maintain effective working relationships with Club staff, Board members, volunteers, community groups, and other related agencies
  • Valid Florida driver's license - must be able to meet insurance requirements (drive to events, different Club sites and Administrative Office and/or off-site meetings/trainings as required for the position)
  • Knowledge of accessing and utilizing donor database
  • Excellent computer skills (Word, Excel, PowerPoint)
  • Knowledge of Raiser's Edge is a plus
