Position Overview :
The Program Site Coordinator plays a key role in supporting the Program Manager in overseeing the daily after-school programming at Boys & Girls Club sites in the San Leandro and San Lorenzo Unified School Districts. This position helps ensure that programs are delivered in alignment with the A.S.E.S (After School Education and Safety) and ELOP (Expanded Learning Opportunities Program) grants. The Program Site Coordinator is part of the site leadership team, comprised of the School Safety and Operations Coordinator and the Kinder Club Coordinator, all of whom report to the Program Manager. The Program Site Coordinator will collaborate closely with staff, students, and community partners to support the successful operation of the after-school program, helping to create a safe, engaging, and outcome-driven environment.
Key Responsibilities & Essential Functions :
Program Support & Implementation :
- Assist the Program Manager in managing after-school site activities and services to ensure the program's success.
- Support in overseeing program schedules, curriculum implementation, and ensuring compliance with A.S.E.S. / ELOP grant standards.
- Collaborate with the Program Manager to provide ongoing support to Youth Development Professionals (YDPs).
- Ensure that daily programming is delivered in a safe, structured, and enriching environment for all Club Members.
Staff Coordination & Leadership :
Support in supervising and providing guidance to Youth Development Professionals (YDPs), ensuring staff are effectively engaging with youth and fostering positive member experiences. Depending on site needs, this may include direct day-to-day supervision or assisting in leading and supporting staff to ensure program goals are met.Assist with training and development opportunities for staff, helping the Program Manager ensure all team members are prepared to meet program goals.Help manage schedules, track attendance, and assist in staff performance reviews as needed.Relationship Building & Collaboration :
Maintain positive relationships with key stakeholders, school administrators, teachers, and parents to ensure seamless communication and a strong partnership between the Club and school community.Assist in engaging parents and caregivers through outreach, events, and regular communication.Help coordinate activities with external partners and community groups to enhance programming offerings.Data Collection & Reporting :
Support the Program Manager in tracking member attendance, daily participation, and program outcomes using the organization’s CRM (MyClubHub) and other data management systems. Coordinate closely with the School Safety and Operations Coordinator (SSOC) and Program Manager to monitor data, enter it as needed, and ensure it is completed in a timely and accurate manner.Assist in compiling data for grant reports and program evaluations, ensuring that program goals are met. Collaborate with the SSOC and Program Manager to verify data accuracy and completeness.Safety & Compliance :
Help maintain a safe environment for all participants by collaborating closely with the School Safety and Operations Coordinator (SSOC) to ensure safety procedures are followed, staff are trained in emergency protocols, and all team members are aware of and adhering to safety expectations.Work with the Program Manager and SSOC to ensure all programs meet licensing, grant, and safety standards, while supporting staff in understanding and consistently following compliance requirements.Special Projects & Events :
Assist in the planning and execution of special events, workshops, and training sessions for both staff and youth.Take on additional duties as assigned by the Program Manager to support the overall success of the after-school programs.Requirements
Qualifications and Experience :
College degree preferred and two years of experience, or equivalent relevant experience.First aid and CPR certified.Minimum 1 year of management or supervision experience.Strong communication skills.Commitment to the entire academic school year, including training dates, and availability for after-school closeout operations.Knowledge, Skills, & Abilities :
Excellent communication and interpersonal skills, with strong working relationships at all staff levels.Strong organizational skills and attention to detail, with the ability to manage multiple tasks and projects simultaneously.Experience with incident investigation and root cause analysis preferred.Ability to work independently with minimal supervision.Ability to manage budgets, prioritize daily tasks, and maintain focus on long-term goals.Proficient in Microsoft 365 with strong proficiency in Excel, Word, Outlook, OneNote, and Planner.Competencies :
