POSITION DESCRIPTION
TITLE: Regional Office Coordinator (Onslow, Pender & Duplin)
HOURS & LOCATION: Part Time, 12:00pm-5:30pm M-F, Onslow admin office
REPORTS TO: Regional Director of Operations
PRIMARY FUNCTION:
Under the direction of the Regional Director of Operations, the responsibilities of the Regional Office Coordinator include: clerical tasks, mail distribution, printing and distribution of reports, maintenance of office supplies and par levels, welcoming visitors, answering and transferring phone calls, and appropriately delivering messages.
Daily Responsibilities
- Manage parent communications as necessary through Parent Casting system
- Manage distribution of mail to appropriate locations
- Manage distribution of messages to appropriate staff
- Maintaining appropriate par levels of all Regional Site supplies and materials
- Ordering of specific site collateral i.e. staff t-shirts etc.
- Oversee supply requests budgets submitted by Program Coordinators
- Manage credit card statements and submit coordinating receipts to finance
- Oversee snack distribution to all units
Volunteer Involvement
- Schedule training for regional program volunteers
- Conduct volunteer orientation
Data Management
- Monitor MyClubHub system to assist with finance-related communications, including refunds and payments
HR onboarding
- collect new hire docs and assist with onboarding tasks to include- background screening, E-verify, drug screen, schedule for orientation
RELATIONSHIPS:
Internal: Maintain close, daily contact with Club staff (professional and volunteer) and supervisor to receive/provide information, discuss issues, explain guidelines/instructions, instruct, and advise/counsel.
External: Maintain contact with Board volunteers, community contacts, and the general public to give and obtain information, either in response to inquiries or as instructed by supervisor.
SKILLS/KNOWLEDGE REQUIRED:
- High school diploma or equivalent
- Minimum of three years of office clerical experience
- Typing/keyboarding skills of at least 50 wpm
- Highly proficient in MS Office and CRMs
- Excellent written and verbal communication skills
- Good organization and attention to detail
- Strong customer relations skills
- Able to maintain strict confidentiality
