                                                        POSITION DESCRIPTION

Title:  Youth Development Receptionist

Reports to: Unit Director/ Assistant Unit Director

Status: Part Time/Hourly

Pay Rate: $15-$18


Primary Function: Under the supervision of the Unit Director, the YDP receptionist is responsible for greeting members, parents, and community members upon entering the club. They are also responsible for the computerized entry tracking of members as they come and go. Will also help with other data entry as needed. YDP receptionist must be detail-oriented and be able to multitask in a busy environment. 


ESSENTIAL JOB RESPONSIBILITIES:.

  • Greeting and Welcoming: As a receptionist,  greet members, parents, and community members as they enter the Club. A warm and friendly demeanor is essential.
  • Member Tracking: responsible for tracking members’ entries and exits using computer systems. This helps ensure safety and efficient management.
  • Data Entry: Beyond member tracking, may assist with other data entry tasks as needed.
  • Safety and Compliance: Ensuring safety protocols are followed, emergency procedures are in place, and compliance with regulations..
  • Risk Assessment: Regularly assessing risks within the facility and during activities is crucial. Identify potential hazards and take preventive measures.
  • Facilities Management: facility maintenance, cleanliness, and security.
  • Community Engagement: Building relationships with parents, schools, and community partners.
  • Ensure all Clubs are compliant with all organizational safety standards. 
  • Assist Site Directors in effective management of staff performance and coaching. Also, assist staff in effective management of child and/or parent disciplinary matters.
  • Assist with Providing reports and analysis to support the fundraising, grant, and other compliance requirements as well as other reports or data collection required of Clubs.
  • Data Tracking and Reporting: Collecting data on program outcomes and preparing reports for stakeholders.

RELATIONSHIPS:

Internal:  Maintains close contact with club staff (professional and volunteer) and Administrative Office Staff to receive/provide information, discuss issues, explain or interpret guidelines/instructions, instruct, and advise/counsel.  


External:  Builds relationships and maintains contact as needed with external community groups, agencies, schools, and others to network, collaborate and/or assist in resolving problems.  


PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

While performing the duties of this job, the employee is regularly required to talk and listen. This is largely a sedentary role. However, it may require standing, walking, bending, kneeling, and stooping. The employee must frequently lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Inside the average office environment.  Average office noise levels.  No personal protective equipment required.  Ambient temperature between 68 and 76F.  Travel to Club Sites required as well as some outdoor activity.  Mileage reimbursement provided for travel outside assigned counties.


SKILLS/KNOWLEDGE REQUIRED:

  • Bachelor’s degree from an accredited college or university, or equivalent experience.
  • A minimum of two years’ work experience in a Boys & Girls Club or similar organization planning and supervising activities based on the developmental needs of young people preferred.
  • Thorough knowledge of youth development theory..
  • Strong, professional communication skills, both verbal and written.
  • Working knowledge of budget preparation, control, and management..
  • Strong organizational/time management skills with the ability to work unsupervised and to be a self-motivated problem-solver.
  • Must be able to drive and have access to a personal vehicle.
  • Must be available to work evening hours and travel out of town for training and other events as necessary.

PROGRAM FUNCTIONS

  • Ensure all Clubs are compliant with all organizational safety standards.
  •  Ensure safe and efficient check in/out of Club Members. 
  •  Input member tracking into vision software or other tracking of data for Club members.
  •  Communicate with all staff efficiently and clearly. 
  •  Communicate effectively with parents and community members. 
  • Help to manage program supplies and equipment. 
  •  Help to manage the flow of the program. 
  •  Help to maintain organization and cleanliness of building. 
  • Other duties as assigned.


PERSONNEL FUNCTIONS

  • Greet Club Members, parents, and visitors..
  • Assist with the recruiting, training, and directing of volunteers.


PROPERTY FUNCTIONS 

  • Safeguard Club equipment and program supplies.
  • Assist with Conducting building evacuation of club members on a regular basis.


ADMINISTRATIVE

  • Prepare and maintain program statistics and related reports.
  • Report all injuries of members, volunteers and staff members to the Directors immediately 
  • Other such duties may be assigned by the Unit Director.
