The Accounting Assistant plays a key role in supporting the finance department by ensuring accurate financial record-keeping and efficient processing of transactions. This position collaborates with leadership to verify proper documentation and coding before payments are made, conducts regular reconciliations of charge accounts, and maintains organized financial databases through precise data entry. Additionally, the Accounting Assistant assists in preparing and tracking grant claims, making necessary adjustments to the general ledger, and supporting the CFO with special projects and the annual audit.
Essential Job Functions:
- Assist in reviewing accounting systems, including documentation of all journal entries, bank reconciliations, tax reports and filing, fixed assets, and A/P.
- Prepare various expense reports for program departments and assist program staff with submitting supply requests.
- Comply with federal, state, and company policies, procedures, and regulations.
- Receive, process and maintain records of all cash, checks, and vouchers in a timely manner.
- Calculate, prepare, and issue bills, invoices, account statements, and other financial statements according to established procedures.
- Perform financial calculations, such as amounts due, interest charges, balances, discounts, equity, and principle, and reconcile or note/report discrepancies found in records.
- Debit, credit, and total accounts on computer spreadsheets and databases, using accounting software.
- Work with department managers to verify invoices and ensure proper documentation and approval prior to payment.
- Process and manage accounts payable transactions accurately and in a timely manner.
- Prepares various expense reports for program departments and assists in program staff with submitting supply requests.
- Perform regular reconciliations of charge accounts to maintain accuracy and resolve discrepancies promptly.
- Conduct efficient and precise data entry tasks related to financial records and maintain updated and organized databases.
- Assist in preparing and tracking grant claims, ensuring compliance with regulations and timely submissions.
- Support the finance team in making necessary adjustments to the general ledger as directed.
- Assist Chief Financial Officer in preparation of the annual audit and on special projects.
- Perform additional tasks as assigned by the Chief Financial Officer.
Education and Experience Requirements:
- Minimum of two years’ experience in accounting is preferred but not required.
- An associate’s degree or higher in accounting or another related field is highly preferred.
- Experience with Sage Intacct in helpful but not required.
- A valid CPR Certification or the ability to obtain and maintain CPR certification within 90 days of employment is required. The Boys & Girls Clubs of the Sioux Empire does provide training for those not certified.

Work Environment and Physical Requirements:
- Constant hearing, hand-eye coordination, mind-eye coordination.
- Intermittent speaking, standing, walking, kneeling, lifting, reaching, and squatting.
- Potential exposure to communicable diseases.
- Frequent lifting of objects under 20 pounds, and occasional lifting of items up to 75 pounds.
- Indoor and outdoor work with exposure to extreme temperatures in summer and winter.
