Perform administrative and secretarial functions under the direction of the CEO. Work schedule will reflect meeting the requirements under the essential functions and be overseen by the Chief Executive Officer. All employees of Boysville, Inc. receive training in the Quality Improvement (QI) activities of the company and are required to actively participate in QI meetings, tasks, projects and/or committees, as needed.
Essential Job Functions:
- Prepare reports and research records for the CEO
- Prepare Minutes for Board of Directors meetings, and record and distribute committee reports and agendas
- Mail donor appreciation letters and all correspondence from the CEO
- Maintain an accurate Board of Directors roster and Board portal
- Chair the PQI Records Review Committee
- Coordinate scheduling of campus meeting rooms for internal & external use
- Maintain Campus Personnel Phone Directory
- Supports executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications
- Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
- Welcomes guests and customers by greeting them, in person or on the telephone, and answering or directing inquiries
- Prepares reports by collecting and analyzing information
- Represents the executive by attending meetings in the executive’s absence and speaking for the executive
- Maintains client’s confidence and protects operations by keeping information confidential
- Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions
- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies
- Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; and evaluating new equipment and techniques.
- Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies
- Contributes to team effort by accomplishing related results as needed
- Authors the Employee Newsletter
- Send out correspondence and acknowledgements to Board Members on behalf of the CEO
Qualifications
- Bachelor’s Degree in Business Administration (preferred) or related field with 2 or more years’ experience in administrative services
- Must possess excellent communication, organization, time management and written skills
- Must be computer literate in windows applications
- Must exhibit behavior that demonstrates cultural diversity and sensitivity (See Corporate Policy #2103)
Physical/Mental Requirements:
- Ability to read, write and converse in English
- Ability to communicate with staff, residents, families, vendors, support agencies and others
- Ability to handle stress
- Bending, lifting, grasping, fine hand/eye coordination, pushing/pulling, prolonged sitting/standing
- Ability to respond to telephones and other auditory stimulation. Quantitative/mathematical ability (addition, subtraction, multiplication, division, standard measurements)
