We are hiring for a part-time administrative role at Bozeman Media Design! This is a structured, non-creative position focused on essential administrative and operational tasks to support client accounts and office management. This role is ideal for someone who thrives on a schedule, enjoys knowing what they will be doing each day, and excels at time management. There is potential for this role to grow into a full-time administrative position.
Key Responsibilities:
- Posting content for client accounts and ensuring posts are live and correct.
- Completing daily engagement for client accounts.
- Sending weekly "wins" to clients, highlighting account successes.
- Handling email correspondence with clients.
- Overseeing and managing paid ads for client accounts.
- Sending clients monthly analytical reports, including pulling and analyzing performance data.
- Creating reports based on analytics and client insights.
- Assisting with model calls and coordinating shoots.
- Sending filming reminders to clients and collaborators.
- Sending reminders for intake forms and mockup edits.
- Preparing weekly meeting and discovery call documents in our workspace software.
- Taking notes during discovery calls and maintaining accurate records.
- Managing our workspace software.
- Updating client profiles and story highlights.
- Preparing and sending invoices to clients.
- Assisting with contracts and administrative documentation.
- Creation of shot lists for photo/video shoots.
- Office Manager Duties: Managing BMD receipts and finances, overseeing office upkeep, running errands, and handling returns/pickups.
Requirements:
- Proficiency in Google Suite (Gmail, Calendar, Drive, Slides, Docs).
- Experience using Canva.
- Familiarity with Monday.com and Hello Bonsai is a plus.
- Strong attention to detail and organizational skills.
- Ability to analyze data and generate comprehensive reports.
- Excellent communication skills for client interaction and coordination.
- Strong time management skills, thriving in a repetitive, structured work environment.
- Experience with AI is a plus.
