What are the responsibilities and job description for the Administrative Assistant position at BQE Fitness?
We are seeking a highly organized and detail-oriented Administrative Assistant to join our energetic team at BQE Fitness.
Key Responsibilities:
- Provide administrative support to Creative Director and General Manager
- Data and order entry for Basketball court rental, private bookings, catering orders and spreadsheet maintenance
- Respond to phone and email inquiries in a timely and professional manner
- Maintain onsite and computer filing system and document storage for various form and signage needed for front desk, personal training, inventory and record operations, and employee onboarding
- Create and maintain spreadsheets, documents and memos as needed
- Support the planning and implementation of special events and programs
- Assist General Manager in scheduling inventory checks with staff, maintain café, cleaning and merch inventory ordering as needed
- Assist Creative Director with Managing creative freelancers, content creators, etc. ensuring project delivery is on scope, on time, and on brand
- Assist Creative Director with media, influencer, and engagement outreach
- Content and design research as needed under the direction of the Creative Director and Producer
- Assist in building digital stories for member engagement for social channels under the direction of the Creative Director
- Assist Creative Director and General Manager with influencer, trainer, instructor, and maintenance scheduling and follow up, vendor follow up, interview scheduling, etc.
- Occasionally brainstorm copy for captions, blogs, storyboarding and other brand assets, assist the Creative Director with operational brand management
- Conducting research to stay up-to-date with industry trends and best practices
- Must have excellent communication skills and the ability to work in cooperation with internal creative team, staff and partners
- Must demonstrate understanding of our gym culture, mission, retention of pricing, operational information for membership inquiries and cancellations as needed
Desired Skills & Experience:
- Education: Associate (Preferred)
- Experience: Customer service: 1 year (Preferred), Administrative: 2-3 years (Preferred)
- Work Location: Woodside, NY
- High level proficiency in MS Office, including Word, Excel, One Drive, Google Suite and Outlook applications.
- Strong organizational, written, and verbal communication skills.
- Ability to multitask and prioritize work in a fast-paced environment.
