JOB SUMMARY:
Primary duty is the ongoing filing of numerous documents in the working and original files. Scanning of working and original files into the PACSES Imaging System. Performs general clerical duties that may include, but are not limited to: data entry/retrieval; typing; scheduling; reception desk; mail processing; court check-in. Duties include contact with the public
DISTINGUISHING FEATURES OF THE CLASS:
Position in this class involves updating data and other case information on support cases.
JOB FUNCTIONS:
· Performs data entry
· Answers and makes phone calls as instructed.
· Performs filing and file maintenance duties
· Scans all necessary paperwork in working and original files.
· Organizes and processes incoming and outgoing office mail as instructed.
· Assists with routine clerical duties
· Conducts client check ins for support conferences, hearings, paternity tests, appointments, and walk in visits
· Dockets support case information, conference and hearing notices on the computer
· Types forms, letters, and other key department documents and/or generate such forms/information as needed via the office computer system.
· May research case information and follow up within established office procedural time frame
· Follows all State, County and Department security requirements, polices, and procedures.
· Understands and adheres to security plans, emergency procedures, and confidentiality policies.
· Helps to provide a safe and secure environment for themselves, coworkers, and clients
· Takes measures to secure data and client information
· Keeps informed and up to date on all safeguards and security programs in the department
PHYSICAL AND MENTAL REQUIREMENTS:
While performing the duties of this job, the employee is regularly required to sit for extended periods of time with frequent periods of standing, reaching and grasping necessary to work with files. Must be able to lift in excess of twenty pounds. Must possess the ability to read and follow directions, written and verbal as well as convey information written and verbally to other employees.
REQUIRED KNOWLEDGE, SKILLS and ABILITIES:
High school diploma or equivalent. Computer keyboarding skills. Basic computer skills. Good oral, written, and communication skills. Ability to organize and accurately file documents numerically and alphabetically. Ability to follow and complete instructions
