Summary :
The Health Administrator is responsible for the management of the volunteer workforce, including medical students and residents, dental students, public health interns, pre-dental students, nursing students, and others. The Health Administrator is responsible for the recruiting, onboarding, coordinating, scheduling, tracking hours and supporting all licensed and non-licensed clinical and administrative volunteers. The position works with the Practice Manager and Department Leads in medical, dental, behavioral health, pharmacy and patient administration services to ensure department needs are being met. The Health Administrator is designated as the Clinics Compliance Officer, under the supervision of the Practice Manager. The Health Administrator manages Athena system, including data for clinical analysis and reporting purposes as needed. The Health Administrator is also responsible for any other tasks as assigned by the Executive Director.
The primary duties of the Health Administrator shall include, but not be limited to those listed :
VOLUNTEER COORDINATION
Coordination and support of volunteer workforce for medical, dental, behavioral health, pharmacy, including licensed and non-licensed volunteers.
Develop and maintain volunteer training documents and processes, including orientation, onboarding, shadowing, electronic health record training, etc.
Train non-licensed volunteers to enter med history, etc from patient registration form and follow up to ensure the process is being maintained;
Communicate with leads of each clinical rotation to discuss schedule, priorities, concerns, etc.include Practice Manager and Executive Director as needed.
Coordinate with Practice to ensure all volunteers are in compliance with applications, license renewal, and affiliation agreements and to ensure letters of recommendation and employment verifications are submitted in a timely manner.
Meet with Practice Manager and the Department Leads on a regular basis to coordinate and update on volunteer workforce services.
Maintain and update a volunteer schedule to distribute each day to all staff.
Oversee compliance and credentialing for VA Risk Management (CIVITAS), Malpractice Insurance, and Medicaid in coordination with appropriate departments.
Track all volunteer hours in Bloomerang.
Run AHEC Scholars program which includes recruiting, meeting one-on-one to meet program goals, data reporting, and meetings.
SPECIALTY CLINICS :
Coordinate monthly Pediatric Clinics, ensure adequate support staff and volunteers (scribes, nurses, interpreters, etc), ensure all necessary documents are completed / turned in prior to clinic, identify vaccine records from Home Country,
Coordinate monthly Eye Clinics, ensure adequate support staff and volunteers (scribes, med students, check-in), oversee clinic one night a month, check patients in, schedule follow-up, and to ensure clinic runs smoothly.
Coordinate schedule for Spanish interpreter when needed for Spanish speaking patients.
EHR & DATA MANAGEMENT
Complete the following reports monthly
Work with EHR systems for medical, dental, behavioral health and pharmacy departments (Athena, Eaglesoft, Dragon, REDCap, VIIS, Jotform) and troubleshoot any issues.
Create schedules in EHR (Athena) for volunteers. Work around holidays, clinic closings, call-outs, etc. to reduce rescheduling patients as much as possible.
Work with Clinical staff to create order sets, templates, and text macros in Athena to make billing more streamlined, ensure compliance, and reduce workload on staff.
Ensure adequate Athena training for staff and volunteers
Prepare Clinic data in the EHR to track all clinical services for productivity, quality management, and grant reporting.
Prepare insurance related reports monthly as directed by the Practice Manager, including a breakdown of Medicaid billed by provider and department.
Monitor data clean ups for all new patients who have been entered into Athena in the last month. Break down patient visits for no show reports.
Complete other reports as needed by Executive Director, Practice Manager, and Grant Writer.
COMPLIANCE ASSISTANCE
The Health Administrator is designated as the Clinics Compliance Officer for VAFCC, OSHA, and CLIA, under the supervision of the Practice Manager.
Works with the Executive Director, Practice Manager and the clinical department leads to update the Standard Operating Procedures, in order to ensure compliance across departments.
REQUIRED SKILLS
Bachelors Degree required
- Public Health Major
Experience in the health care industry preferred
Experience with Electronic Healthcare Records, Excel and other Microsoft Office products
Highly organized and detail oriented, able to work independently;
Team player with managerial skills;
Excellent communications skills with patients, staff, and volunteer health care providers.

Employees who work 30 hours on a regular basis will be eligible for medical the first of the month following 60 days.

Employees are responsible for 100% of dependents dental insurance premium. Employees who work 30 hours on a regular basis will be eligible for dental the first of the month following 60 days.
Vision Insurance : Participating employees are responsible for 100% of the insurance premium. Employees who work 30 hours on a regular basis will be eligible for vision the first of the month following 60 days
401K : Bradley Free Clinic will match employees contributions 100% up to 3% of the employees annual salary and 50% on the next 2% of the employees annual salary. Employees are eligible to participate once they attain age 21 and have 1 year service with the company. You will enter the plan on the first day of the month on or after you meet the eligibility requirements. Our 401(k) plan has a three-year cliff vesting schedule. This means you are always 100% vested in contributions you choose to defer, however, you must remain employed for three (3) years to be 100% vested in any employer matching contributions; there is no step vesting schedule.
