ROLE LOCATION:
Dallas, Texas or West Palm Beach, Florida (In Person Work & Travel Required)
ROLE REPORTING:
This job reports to the CEO / CMO
This role cross-functions with all teams within the company. C-Suite and Senior Executive Assistant experience is required.
ROLE / JOB RESPONSIBILITIES:
- Minimum of 5 years of C-Suite Executive Assistant experience required.
- Minimum of 5 years experience at a Consumer Product company required.
- Preferred Experience in the Vitamin, Supplements, CPG, or Natural product category
- Passionate and motivated about Brain Health products with a desire to assist the CEO / CMO in day-to-day responsibilities and communication of managing the company and stakeholders
- Ensuring all tasks and projects are efficiently and effectively tracked and roadmaps completed.
- Managing CEO / CMO’s business and professional scheduling, meetings, calls, and preparing meeting agendas and materials
- Manage, coordinate, handle, and change travel for CEO/CMO and other company team members
- Proactive support in a fast-paced environment
- Communicate effectively with a team of employees and partners in various parts of the United States and abroad in multiple time zones.
- Expert ability to create reports, prepare filing, organization of files (digitally and physical copies), prepare documents for travel
- Problem solver and strategic thinker; optimization of time
- Manage timelines and forecasts (weekly, monthly, quarterly, annual executive level reports)
- Maintain office and company drive filing protocols and systems
- Plan and organize company team meetings, retreats, events
- Order Team lunches, dinners, restocking of office supplies and other needs
- Coordinate Mailing Lists, Holiday Gift Lists, Special Gift mailings to partners, customers, investors, etc
- Attendance and travel for company meetings, Trade Shows, and Meetings with CEO / CMO
- Level-headed approach and strategic thinking to optimize company goals
- Detail-oriented with experienced and meticulous quality of work
Qualifications & Requirements:
- Bachelor’s degree (Preferably in Supply Chain Management, Business, Finance, Accounting, Operations Management, or similar study)
- REQUIRED: 5 years of experience C-Suite Executive Assistance
- EXPERT PROFICIENCY in MicroSoft Office Suite (Word, Excel, PowerPoint)
- REQUIRED: Familiarly with CPG, primarily Natural and Organic Food & Beverage Consumer Product industry
- REQUIRED: Comfort level with balancing personal & professional tasks
- REQUIRED: Privacy, sensitive & confidentiality of information (NDA will be required for this role)
- Ability to translate executive level or stakeholder requests into impactful strategy and execution; critical thinking essential
- A self-starter; ability to anticipate needs and take initiative without constant oversight & supervision
- Effective and proficient ability to articulate, comprehend, articulate and dissect reports of sales, inventory, and other reports related to company operations
- Strong leadership skills with demonstrated ability to work in a results-oriented, constantly challenging environment
- Great people skills in managing up to high-level executives, among peers, and to cross-functionally in a manner that promotes positive communication, collaboration, and clear goals, analytical coordination that leads the team to achieve improvements and goals
