Key Responsibilities:
Protect the executive team's time at all costs!
1. Office Management & Administration
- Maintain office supplies, inventory, and equipment.
- Manage office organization and facility-related needs.
- Oversee relationships with building management, IT support, and vendors.
- Ensure efficiency of office systems and processes.
2. Calendar & Meeting Coordination
- Schedule and manage appointments and meetings for leadership.
- Organize meeting logistics, technology setup, and food/beverage arrangements.
- Take detailed notes, distribute meeting recaps, and track follow-ups.
3. Event Planning & Performance Tracking
- Plan and execute company meetings, team gatherings, and events.
- Coordinate venue, catering, guest accommodations, and employee engagement activities.
- Develop systems for streamlined event planning and maintain event records.
- Create event recaps and gather feedback for continual improvement.
4. Communications & Documentation
- Draft, proofread, and distribute communications on behalf of leadership.
- Assist in preparing presentations, reports, and business documents.
- Manage incoming and outgoing correspondence, ensuring timely follow-ups.
5. Vendor & Expense Management
- Process vendor payments and invoices, monitor office expenses.
- Research and negotiate vendor pricing to optimize costs.
6. Travel & Logistics Support
- Arrange travel accommodations and itineraries for executives.
- Prepare travel expense reports and reimbursement documentation.
7. Special Projects & Task Coordination
- Support leadership with ad-hoc research and project execution.
- Coordinate team initiatives to enhance efficiency.
- Monitor tasks and deadlines for accountability.
8. Photos & Content Management
- Capture and organize team and event photos for internal and marketing purposes.
- Maintain a consistent photo archive for branding purposes.
Qualifications & Skills
- Experience: Minimum of 2 years as an Executive Assistant, Office Manager, or similar role.
Skills:
- Strong organizational and multitasking abilities
- Excellent written and verbal communication
- Proficiency in Microsoft Office Suite, Google Workspace, and calendar management tools
- Event planning and logistics experience
- Ability to handle confidential information discreetly
- Proactive problem-solving mindset
- Exceptional attention to detail
