Description : Position Summary :

As the first point of contact for our clients, visitors, and employees, you will play a crucial role in providing excellent customer service and ensuring the smooth operation of the reception area. This role is perfect for someone who enjoys interacting with people, keeping things running smoothly, and maintaining a welcoming office environment.

Responsibilities :

  • Greet and welcome clients, visitors, and employees with a warm and friendly demeanor.
  • Answer incoming phone calls promptly and direct them to the appropriate department or individual.
  • Provide accurate and helpful information to inquiries about our products, services, and company.
  • Maintain a clean and organized reception area, ensuring it is well-stocked with necessary supplies.
  • Manage incoming and outgoing mail and packages, distributing them to the appropriate recipients.
  • Coordinate with various departments to ensure seamless communication and coordination.
  • Assist with general administrative tasks, including data entry, filing, and document management.
  • Handle customer complaints and concerns, escalating them to the appropriate department when necessary.
  • Maintain confidentiality of sensitive information and adhere to security protocols.
  • Collaborate with the warehouse team to facilitate smooth operations and timely order processing.
  • Assist in maintaining inventory of promotional items and office supplies.
  • Provide support for occasional warehouse operations, such as packing and shipping orders.
  • Stay updated with industry trends and product knowledge to effectively assist customers.

Requirements : Qualifications :

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience as a receptionist, front desk representative, or in a similar customer service role.
  • Exceptional interpersonal skills and a friendly, professional demeanor.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities, with a keen attention to detail.
  • Proficient in using office equipment such as telephones, computers, printers, and fax machines.
  • Familiarity with standard office software, including MS Office (Word, Excel, Outlook).
  • Ability to work well under pressure and handle challenging situations with composure.
  • Prior experience in the promotional products industry or a warehouse environment is preferred but not required.
  • Reliable and punctual, with the ability to maintain regular attendance.
  • A positive attitude and willingness to learn and grow within the company.
  • Working Conditions :

    This position operates in a professional office environment within a promotional item warehouse. The role involves frequent interaction with clients, visitors, and employees, as well as occasional exposure to the warehouse floor. The receptionist may need to lift boxes or packages weighing up to 30 pounds. Standard office hours are expected, with occasional flexibility required based on business needs.
