Summary
The Clinic Receptionist provides compassionate care of clinic patients during scheduling and appointment check-in and check-out. They utilize exceptional customer service with all clients, whether on the phone, in email, or in person at the Veterinary Resource Center (VRC). With guidance from the Clinic Coordinator and Veterinarians, the clinic receptionist will address any concerns or questions from the public and work to ensure all have a positive experience.
Responsibilities
General
- Practice and encourage the humane treatment of animals.
- Uphold the mission and values of HSHA throughout all responsibilities of the position.
- Ability to multi-task and work in a fast-paced atmosphere.
- Ability to maintain a friendly, calm, professional, and courteous manner with clients.
- Ability to communicate effectively with medical staff personnel.
- Promote donation and giving opportunities as appropriate.
- Work collaboratively with other shelter departments and teams to fulfill the mission of HSHA.
Patient Care and Customer Service
- Greeting all clients at the reception desk in a welcoming manner.
- Check and respond to messages throughout the day via phone, email, and the patient portal.
- Schedule appointments and surgeries without conflict.
- Perform check-in and check-out of all patients; assist with discharge of surgical patients.
- Process client payments; manage receipts and prepare the end-of-day deposit.
- Manage client forms and documents.
- Direct people who are surrendering an owned or stray animal to the appropriate area within the shelter.
- Provide accurate and helpful information to the public regarding all programs and services offered by the organization (HSHA and BVSPCA).
- Inform clients of any pertinent medical information regarding patient care and follow up; communicate post-op release instructions.
- Assist as needed with HSHA vaccine clinics

Requirements
- This position requires an outstanding customer service attitude with excellent communication, organizational and interpersonal skills.
- The individual must be able to prioritize multiple projects and work well under pressure.
- Excellent organizational skills and the ability to multi-task.
- Have compassion for pet owners and pet caretakers that use our clinic; be helpful and understanding.
- Able to use relevant software applications such as Neo (veterinary software) and Microsoft Office (Word).
- Basic knowledge of animal medical terminology is preferred but not required.
WORKING CONDITIONS
- Work is performed in a shelter/animal hospital setting.
- Regular sitting at a computer workstation 4 hours per day to input patient data.
- Frequent bending, reaching, and kneeling while handling patients.
- Repeated lifting and carrying of animals weighing up to 50 pounds.
- Subject to animal bites and scratches while handling animals.
- Consistent exposure to animals and animal allergens under conditions with limited alternatives available.
