Job Summary: As the Office Manager at Brassfield Landscaping, you will be responsible for overseeing administrative operations, managing scheduling systems, and providing leadership to our office staff. The ideal candidate must be proficient in Service Auto Pilot scheduling software and possess a strong background in office management. This position requires excellent organizational, computer, and communication skills, as well as the ability to lead and motivate a team in a fast-paced environment.
Key Responsibilities:
- Manage and oversee day-to-day office operations, ensuring smooth workflow and efficiency.
- Utilize Service Auto Pilot scheduling software to manage appointments, coordinate job schedules, and ensure timely completion of landscaping services.
- Organize and maintain accurate records, files, and client information.
- Provide leadership and guidance to office staff, ensuring optimal performance and customer service.
- Monitor office budgets, expenses, and resources to ensure cost-effective operations.
- Assist with employee scheduling, payroll, and other HR functions as necessary.
- Serve as the main point of contact for clients, vendors, and suppliers regarding office-related inquiries and scheduling.
- Ensure office supplies and equipment are properly stocked and maintained.
- Oversee invoicing, billing, and ensure timely payment processing.
- Collaborate with management to improve office processes and procedures for maximum efficiency and productivity.
- Coordinate communication between office staff, landscapers, and clients to ensure high levels of service and customer satisfaction.
- Prepare reports, manage schedules, and assist with project management tasks as needed.
Qualifications:
- Proven experience as an Office Manager, Administrative Assistant, or similar role, preferably in a landscaping or service-based business.
- Proficiency in Service Auto Pilot scheduling software or similar software platforms is required.
- Strong organizational and time-management skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent leadership and team management skills with the ability to motivate and guide staff.
- Self-starter with the ability to work independently and manage office operations with minimal supervision.
- Exceptional communication skills, both written and verbal, with a focus on customer service.
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office management tools.
- Ability to maintain a high level of professionalism and confidentiality.
- Detail-oriented, with a focus on accuracy and quality.
