Job Title: Administrative Assistant/Outside Sales Rep
Position Type: Full-Time Base Salary plus commission
Job Summary:
Braxton Cleaning Solutions, a leading residential and commercial carpet cleaning company in the Greater Cincinnati/NKY/Southeast Indiana market, is seeking a highly organized and detail-oriented Administrative Assistant to support our operations. The ideal candidate will possess excellent communication skills, a proactive attitude, and the ability to multitask in a fast-paced environment. This role is crucial in ensuring the smooth day-to-day administrative functions and providing exceptional customer service to our clients.
Key Responsibilities:
Customer Service:
· Answer phone calls and respond to emails in a professional and timely manner.
· Schedule appointments and manage the calendar for cleaning services.
· Address customer inquiries and resolve any issues or complaints.
Administrative Support:
· Maintain and update client records and databases.
· Prepare and send invoices and track payments. Assist with collection of invoice payments for current clients and accounts.
· Assist with the preparation of quotes and proposals for prospective clients.
· Maintain customer payments in databases including House Call Pro and Quickbooks online edition.
· Bonus potential for outside sales procurement and inside sales call conversion when conversion rates exceed 75% of calls received.
Operational Assistance:
· Coordinate and dispatch cleaning teams to job sites.
· Assist in scheduling cleaning teams using House Call Pro and company databases.
· Monitor and follow up on job progress and completion.
· Ensure proper documentation and filing of work orders and service reports.
Communication:
· Liaise between clients, cleaning teams, and management to ensure seamless service delivery.
· Assist with internal communications and team coordination.
Financial Tasks:
· Collecting / receiving customer deposits including preparing deposits for the bank and logging transactions in company software systems.
· Assist with basic bookkeeping tasks and maintain financial records in Quickbooks Online Edition.
- Generate new leads and customers - commission structure is 15% first year of service, 10% continued business second year, and 5% continued business 3rd year.
- Service new accounts through routine scheduled service check-ins.
Qualifications:
Education:
· High school diploma or equivalent; an Associate's degree in business administration or a related field is a plus.
Experience:
· Proven experience as an administrative assistant or in a related role.
· Experience in the commercial cleaning industry is advantageous but not required.
· Administrative office experience of 3 – 5 years.
· Experience with Quickbooks online and Microsoft office tools (Word, Excel, Power Point, and Teams).
Skills:
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
· Strong organizational and multitasking abilities.
· Excellent verbal and written communication skills.
· Familiarity with scheduling and CRM software is a plus.

Working Conditions:

· Standard working hours with some flexibility for urgent client needs.

· Frequently lift and carry an average of 5 to 20 pounds and occasionally as much as 40 to 70 pounds or more.
