At the Breast Diagnostic Center, we are committed to providing the highest quality breast imaging services. We want our patients to feel well cared for in a pleasant environment and encourage them to actively participate in managing their breast health.
We are currently looking for a full time (1.0 FTE) employee to join our clerical team. This employee will float between our North office and Carew office filling various clerical roles within the department i.e. front desk, scheduling, patient coordinator, and reading room.
Position Overview: While in scheduling the primary functions will be to answer incoming calls to schedule patient appointments, answer questions, and direct phone calls to appropriate department or area. Handle incoming and outgoing faxes (order requests, referrals, film requests, etc.). Patient Coordinators assist in preparing patients for their exams, liaison between front desk and technologists. Monitors patient flow through department. Front desk is responsible for acting as the first point of contact for patients by greeting, gathering information, registering, and posting payments. Reading room assistants work directly with our Radiologists to make sure they have the information needed to read current exams for our office and outlying facilities.
Hours for this role may vary depending on company needs.
Business hours are: Monday - Thursday : 715a - 8p, Friday : 715a - 5p. If Saturday coverage is needed, hours would be : 715a - 2p.
Principal Duties and Responsibilities:
- Engage with patients to ensure their experience with us is exceptional
- Call for orders
- Monitoring the patient’s status through the department, keep tabs on scheduled appointment time
- Ensure the patients are happy and comfortable
- Maintain tidy work environment
- Assist other areas when schedule is slow
- Check voicemail and return calls in a timely manner, if a patient cancels be sure to let the front desk and technologists know, if it is a diagnostic, ultrasound, or biopsy inform reading room as well
- Stay on top of faxes and film requests
- Check email frequently for pertinent information
- Check returned mail
- Fill out CD requests, put in film tracking note, send to Reading Room
- Provide outstanding and professional customer service to ensure efficiency and promote a positive patient experience.
- Warmly greet and register arriving patients
- Collect necessary patient documentation, physician’s order, billing paperwork and appropriate examination documentation.
- Efficiently and accurately input patient information into EPIC
- Explain and assist patients with form completion
- Review scheduled appointments to ensure appropriate order and exam have been selected.
- Prepare next day appointments documentation, incorporating additional paperwork needed for specific exams or payors as necessary, and run Medicaid eligibility
- Collect payments and office charges as needed and be able to educate patient on same day payment options
- Manage patient movement through constant communication with staff.
- Check copy levels in files (i.e. fax cover sheets, order requests, etc.)
- All other duties as assigned by Manager
