Breck Create supports and serves artists, creatives, cultural enthusiasts, visitors and the community at large by providing a year-round schedule of performances, exhibitions, screenings, art classes and workshops as well as other engagement opportunities.

Breck Create’s core attractions are the Riverwalk Center–a 750-seat, heated, indoor performance venue–and a lively Arts District campus of renovated historic structures that now function as studio spaces for art classes and workshops. These structures also include affordable rentals for local artists and visiting artist-in-residence participants. The Breckenridge Arts District is a certified district within the Colorado Creative Industries Creative District program.

General Purpose of Position

This position is responsible for the smooth operation of Breck Create (BC) programs. The Programs Coordinator organizes logistics related to BC programs on-campus, online and offsite, led by both the Arts Education Manager and the Senior Director of Programs Campus Experience. Most often, the role coordinates materials and schedules spaces and volunteers on the Arts District Campus, which includes five discipline-specific art studios, two guest artist live/work studios, a multimedia exhibition space, and other BC-managed cultural venues. Reporting to the Senior Director of Programs Campus Experience, the Programs Coordinator is a key member of the Programs team who frequently works with part-time Studio Technicians and Patron Services Specialists as well as contracted artists and instructors.

Principal Duties and Responsibilities - Arts District Support

  • Ensure the successful, daily execution of programs on the Breckenridge Arts District Campus. This requires in-person hours Tuesday-Saturday.
  • Serve as instructors’ point of contact in cases of urgency or emergency.
  • Create and maintain Outlook calendars for all upcoming campus programs (exhibitions, classes, field trips, special events, etc.) Proactively identify and communicate scheduling conflicts to the Programs team.
  • Manage the ordering, organizing, and tracking of materials for 5 studios and 2 guest artist residences. Create and maintain materials safety information and cleaning checklists for each studio.
  • Assist in evaluation of programming based on survey results and facilities usage reports (Excel).
  • Coordinate cleaning and upkeep of guest artist residences and studios with Facilities Manager Lead Preparator to ensure that they are prepared for each artist’s arrival.
  • Cultivate professional relationships with visiting artists, instructors, Patron Services Specialists, and Studio Technicians to ensure effective operations.
  • Communicate regularly with visiting artists and instructors regarding materials.
  • Assist with the installation and de-installation of artwork both on- and off-campus including packing and unpacking, condition reports, setup, and cleanup.
  • Monitor rotating exhibitions in Old Masonic Hall. Recognize potential safety threats to the gallery and report them to Facilities Manager Lead Preparator.
  • Assist with artist orientation, hospitality, and administration for exhibiting artists and artists-in-residence.
  • Provide on-site support for special event operations, including but not limited to opening receptions, artist talks, festivals, field trips, etc.
  • On an as-needed basis, check in workshop participants using Breck Create waivers and direct them to the appropriate Arts District studio.
  • Provide additional support as assigned.

Digital Systems

  • Become proficient in all aspects Audience View, BC’s ticketing software, to be able to build and/or edit events and packages in all configurations, create queries and reports, create auto marketing/communications messages and work with fundraising components.
  • Build and maintain Audience View registration for Arts District Campus programs.
  • Serve as backup for Marketing Manager in building and maintaining website content for Arts District Campus programs.
  • Coordinate with Marketing Manager regarding ongoing website maintenance as it relates to Arts District program listings.
  • Register and sell tickets to walk-in participants for workshops/events using Audience View software.
  • Process payments and refunds in the form of cash/check/credit card/gift certificates.

Staff and Volunteer Coordination

  • Participate in all info sessions with Patron Services, Studio Technicians, and instructors.
  • Schedule and train volunteers to support all current and future programming needs (If volunteers are unavailable, Programs Coordinator will fill-in). Assist External Relations team with volunteer recruitment and communication.
  • Coordinate the onboarding process for part-time Installation Assistants in accordance with BC hiring protocol and best practices.
  • Regularly update the Patron Services handbook to account for changes in procedure and staffing.

Qualifications & Skills

Basic Qualifications

Proficiency in Microsoft Office, Outlook, and content management systems, along with ability to learn additional team-management software and online reservation systems

Solutions-oriented, proactive team player able to manage multiple, sometimes competing demands

Creative problem-solver with the ability to treat each stakeholder as an individual

Proven outstanding organizational skills

Excellent verbal and written communication

Flexible schedule. May include evenings and Sundays.

Preferred Qualifications

Proficiency in Spanish strongly preferred

Customer service and supervisory experience

Knowledge of contemporary art and processes used in various art studios

Experience working with artists and teaching artists

Physical Requirements

Although primarily administrative, this position requires walking, stooping, bending, reaching, and standing for short periods of time. Must be able to lift and carry items weighing up to 50 lbs. This position also requires hearing to accurately understand information at normal spoken word levels in a potentially loud environment and visual observation for reviewing, checking, preparing, and maintaining written and computer files. Manual dexterity is required to operate standard office, data entry, and related studio equipment.
