Your Job Summary

The Payroll Receptionist will be responsible for carrying out facility payroll operations in accordance with company policies and procedures, applicable state and federal laws, and under the supervision of the Payroll / HR Regional Consultant. Responsible for general payroll duties not limited to compensation, employment status and employee benefits.

Principal Responsibilities

  • Coordinates payroll information by completing payroll preparation, reports and mainting records.
  • Manages day-to-day activities of payroll tasks with a sense of urgency and sensitivity for timely completion;
  • Performs all daily, weekly, and pay period close responsibilities related to payroll processing, as outlined in the Swipe Clock user manual.
  • Maintains, prepares, and processes semi-monthly payroll for 50-1100 internal employees.
  • Processes Time Keeping daily for distribution to department heads for review and correction; Enters edits indicated by department heads.

  • Reconciles payroll prior to transmission and validate confirmed reports.
  • Communicates payroll variables such as shift differentials, overtime, on call, lunch breaks with department managers.
  • Maintains confidentiality of records, contact and information.
  • Reviews and verifies the following payroll reports : Check Register-Reviews regular hours, OT hours, sick hours, vacation hours, etc.; Compares time sheet totals to check register to determine reasonableness of check
  • Updates employee information for withholding of union dues, if applicable, in a timely manner.
  • Sends dated and signed garnishments and levies to vendor.
  • Ensures timely and accurate submission of payroll.
  • Records all requested deductions and mails to home office.
  • Archives payroll information according to federal and state regulations.
  • Maintains records of vacation time, sick time, personal and funeral days, and attendance; Completes individual accrual / absence records.
  • Checks for supervisor approval of Swipe Clock time detail.
  • Calculates and submits retroactive payments, holiday pay, vacation pay, and sick pay.
  • Records worked time, jury duty, and other time by appropriate categories.
  • Answers questions about pay, overtime and other payroll issues.
  • Enrolls new employees into biometric time clock when required.
  • Reviews rates and department assignments for accuracy; Verifies new employees are listed and that terminated employees are deleted.
  • Coordinates in ensuring compliance with company pay and benefits policies.
  • Coordinates in ensuring all new / rehired employees are entered in the payroll system.
  • Coordinates in ensuring the payroll system is updated with all pay, job and personal information changes.
  • Coordinates in ensuring a current work schedule is maintained in the system, if applicable.
  • Coordinates in ensuring the Swipe Clock is kept up-to-date with any schedule / timekeeper changes.
  • Coordinates in ensuring compliance with Department of Labor / Wage and Hour division regulations.
  • Other duties, responsibilities and activities may change or assigned at any time with or without notice

Qualifications

  • Highschool Diploma required.
  • 2 years’ experience in skilled nursing or healthcare related field, preferred.
  • 2 years’ proven experience and demonstrated capability as a payroll specialist required.
  • Possess effective communication skills to maintain positive relationship with residents, families, staff, physicians, consultants, providers, and governmental agencies, their representatives and the community.
  • Current knowledge of local, state and federal guidelines and regulations.
  • Strong personal organization and time management ability with attention to detail.
  • Proficiency with Microsoft Excel and payroll application systems.
  • Strong understanding of payroll accounting and payroll best practices.
  • Strong work ethic and team player with excellent communication skills.
  • Ability to deal sensitively with confidential material.
  • Ability to understand and follow applicable regulations, policies and procedures fully and consistently.
  • Must have strong detail orientation and high accuracy level.
