PRINICIPAL RESPONSIBILITIES:
- Manage incoming calls, e-mails and correspondence redirecting them as necessary in a timely manner with a pleasant demeanor.
- Greet, receive and direct visitors when they arrive.
- Processing in-going and out-going mail distribution, invoices & checks.
- Maintain a daily mail log.
- Receive payment and record receipts for fundraising events ticket sales.
- Type and proofread basic memoranda, reports, fundraising letters, door signs, notifications, phone directory maintenance, e-mail messages, and labels using word processing, spreadsheet and data management applications.
- Maintain files and records (hard copy and electronic) for projects and correspondence.
- Provide general administrative and clerical support to different departments including data entry, mailing, scanning, faxing, filing and copying as well as working in different projects and assignments.
- Compile documents in preparing Joes Club Information kit.
- Receive equipment donations and coordinate distribution.
- Receive office supply orders and checking against manifest.
- Maintain list of community resources for clients and caregivers.
- Maintenance of the front office, supplies, postage machine, and shred equipment to facilitate job functions and ensuring inventory levels.

- Calendar Management:
Coordinate and maintain Home Owners Association (HOA) calendar meetings.
Assist Activities Director with calendars and printing material.
Assist with food calendar and printing material.
MINIMUM QUALIFICATIONS:
- Some college or equivalent work experience plus (3) years of high-level receptionist or administrative support experience required.
- Previous experience working with the elderly preferred.
- Computer literate, proficient with Microsoft Office (Word, Excel, Power Point, Outlook). Proper grammar, punctuation and accurate typing speed of at least 55 wpm required.
- Close attention to detail and good organizational skills are paramount and able to work under pressure or deadlines.
- Good oral and written communication skills.
- Ability to quickly learn and apply company policies, practices, organizational structure and office procedures.
- Must pass Level II background screening and drug test prior to hire date.
