Job Summary
We are seeking a friendly, organized, and efficient Dental Front Desk Receptionist to join our team. As the first point of contact for patients, you will be responsible for ensuring a positive experience by providing excellent customer service and managing administrative tasks. The ideal candidate will be detail-oriented, professional, and experienced in a dental office setting or customer service environment.
Key Responsibilities:
- Patient Reception & Communication:
- Greet patients with a warm and welcoming attitude.
- Answer phones promptly and professionally, scheduling and confirming appointments.
- Address patient inquiries regarding services, insurance, and billing.
- Ensure that the patient check-in/check-out process is smooth and efficient.
- Scheduling & Appointment Management:
- Schedule, reschedule, and confirm patient appointments.
- Manage the office calendar to maximize appointment availability.
- Maintain accurate patient records in the dental management software (e.g., Dentrix, Eaglesoft).
- Send reminders for upcoming appointments.
- Insurance & Billing:
- Verify dental insurance coverage and inform patients of co-pays and treatment costs.
- Process patient payments, including co-pays, deductibles, and outstanding balances.
- Prepare and submit insurance claims.
- Assist patients with billing inquiries and payment arrangements.
- Administrative Support:
- Maintain patient records, ensuring all documentation is accurate and up to date.
- File and organize paperwork and digital files in compliance with office protocols.
- Order office supplies and maintain an organized and efficient front office area.
- Patient Care Coordination:
- Work closely with the dental team to ensure seamless patient care.
- Assist with patient flow, helping to ensure minimal wait times.
- Provide patients with post-treatment instructions or referrals when necessary.
- Confidentiality & Compliance:
- Maintain confidentiality of all patient information in accordance with HIPAA regulations.
- Follow office procedures for data entry, patient communication, and privacy.
Qualifications:
- High school diploma or equivalent (required); Associate's or Bachelor's degree preferred.
- Previous experience in a dental office or medical office setting is highly preferred but not required.
- Familiarity with dental software (e.g., Dentrix, Eaglesoft, Open Dental) is a plus.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to handle multiple tasks in a fast-paced environment.
- Friendly and professional demeanor with strong customer service skills.
- Ability to manage stressful situations with a calm and helpful attitude.
