Job Summary
This position is responsible for handling the switchboard at reception, greeting, and directing members and visitors while maintaining a professional first impression for the organization.
Essential Job Functions
- CREATES WOW by: anticipating needs and wants, being prepared, being continuously enthusiastic, executing flawlessly and doing it now.
- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Acts as the first point person by answering incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
- Responds to inquiries about the organization and provides callers with address, directions, and other information.
- Receives, sorts, and routes mail, and maintains and routes publications; prepares overnight mail.
- Separates checks from mail, sorts checks, adds them up and sends checks to accounts receivable department.
- Updates system with daily events and makes respective signs.
- Scans membership tags of members as they enter the Club.
- Checks reservation voice mail and email continuously.
- Takes reservations and enters them in Club system.
- Enters room and events/tables in Club system.
- Prints out reservation reports daily and advises kitchen of any large parties in Grille or Lounge.
- Creates tickets for all sponsored events.
- Keeps reception area clean and organized and keeps lobby attractive.
- Assists Membership Director in preparing membership packages.
- Assists Club Administrator with all Club mail outs.
- Creates spreadsheets for events.
- Creates birthday/anniversary cards when reservations are made for special events.
- Makes sure bridge rooms are ready prior to members arriving.
- Creates and prints memos, correspondence, reports, and other documents when necessary.
- Assists catering with special events as needed.
- Performs other duties as assigned by the supervisor or senior management.
Additional Responsibilities
- Learns and follows protocols regarding medical emergencies, missing child and fire evacuations.
- Learns and follows procedures and protocols as described in the receptionist manual.
Education and Experience
- Minimum High School diploma or GED (some college preferred)
- Minimum of 2 years of experience as a receptionist or in a customer service related field
- Knowledge of office equipment use (printer, phone, computer, copier, scanner, etc.)
- Experience with multi line telephone system
- Must obtain and maintain CPR, AED, and 1st Aid certifications.

Expected Work Schedule
- Must be able to work full time hours (30-35 hours weekly), mostly mornings, weekends, and holidays as needed.

- Independent mobility throughout club property.
- Practice good hygiene prior to reporting to work and when returning to your assigned workstation. This includes, but is not limited to washing your hands, avoid touching your face, limiting unnecessary physical contact with others, coughing/sneezing into a tissue or the inside of your elbow, and disinfecting frequently used items and surfaces in your work area as directed by Management using company provided cleaning products.
- Wear company issued Personal Protective Equipment such as masks or gloves from time to time as directed by the Company.
