Position Overview:
The Financial Operations Specialist will be responsible for managing financial transactions, ensuring compliance with regulations, and providing accurate financial reporting. The bookkeeper is a member of the management team and should easily be able to communicate the financial aspect of the company’s longevity. This role requires a strong ability to prioritize tasks, meet deadlines, and maintain precise records while collaborating with management to support business goals.
Responsibilities:
Invoicing and Billing:
- Prepare and process invoices for bid jobs and time & material jobs.
- Review and finalize billing with management to ensure accuracy.
Payment Processing:
- Manage payroll processes to ensure timely and accurate completion by setting deadlines.
- Coordinate and schedule payments for vendors, bank loans, and other financial obligations.
Financial Reporting:
- Compile and prepare weekly financial reports and information for management meetings.
- Assist in setting up new jobs and managing financial aspects of time & material projects.
Compliance and Taxation:
- Handle employee taxes and ensure compliance with applicable regulations.
- Manage monthly rent payments and other employee-related financial obligations.
Credit Line Management:
- Oversee and manage credit lines and associated payments.
Operational Support:
- Monitor employee time clocks and ensure accurate time tracking.
- Prepare mileage sheets and other documentation necessary for payroll.
Qualifications:
- Proven experience in bookkeeping or a related financial role.
- Proficiency in accounting software such as QuickBooks and Microsoft Office Suite, particularly Excel.
- Strong organizational skills and attention to detail.
- Good time management skills and exceptional communication.
- Ability to manage multiple tasks and consistently meet deadlines in a fast-paced environment.
- Familiarity with payroll systems and tax regulations is a plus.

Compensation:
- Pay Range: Paid upon experience and qualifications
- 40 hours per week, Monday through Friday
- Paid Overtime when worked over 40 hours
- Family friendly. If your child is sick, you can take off work
