We are currently seeking two Billing Coordinators to join our team in our Cleveland, OH office.
GENERAL DESCRIPTION: Responsible for assisting with initiation and implementation of all the monthly billing processes for our clients, including processing and distribution of monthly pre-bills and preparing client invoices. Success in this role will be measured by the accuracy and timeliness of billing processes, the ability to handle high volumes of invoices efficiently, and the effectiveness of communication with attorneys and clients.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Assist with all functions related to processing and distributing monthly paperless prebills.
- Modify, edit, transfer, and split time and cost entries as directed.
- Reporting and ensuring rates are accurate.
- Perform job responsibilities with a high level of customer service focus, ensuring clear and concise communication.
- Compile necessary back-up documentation per client billing guidelines.
- Acquire and maintain proper approval documentation.
- Print, email, and electronically submit client invoices.
- Responsible for responding to inquiries from legal assistants and attorneys regarding billing.
- Maintain contact with attorneys, staff, and clients and maintain confidentiality of clients and firm matters.
ADDITIONAL RESPONSBILITIES:
- Obtain strong knowledge of your assigned attorneys and their expectation for billing.
- Process prebills within 2-3 days of receiving them from your attorney.
- Effective and timely communication to all billing inquiries.
- Provide customized assistance and guidance to individuals regarding billing requests.
- Demonstrate flexibility by adapting to changes in priorities and work assignments.
- Utilize resources available to you when working through new challenges that come with billing requests.
- Continually think of ways that you and the team can operate more efficiently and improve current processes.
- Take ownership and initiative of your role, work, and personal growth.
EDUCATION/EXPERIENCE:
- Associate degree or combination of education and commensurate work experience required.
- 3-5 years of Billing Coordinator experience required, preferably within a law firm or professional services firm.
- Proficient in Excel, Outlook, Microsoft Word, Aderant, ITimekeep, Prebill Manager and Apollo (or similar software).
KNOWLEDGE / SKILLS / ABILITIES:
- Maintain accuracy, remain detail-oriented, and produce quality work under tight deadlines.
- Strong analytical and critical thinking skills.
- Computer proficient with experience and working knowledge of Excel, Outlook, and MS Word required.
- Takes initiative of managing and completing multiple priorities in a fast-paced environment.
- Proactive thinker with excellent troubleshooting, problem resolution, and follow-through skills.
- Excellent interpersonal, verbal and written communication skills.
- Excel at building and maintaining strong relationships with a diverse group of attorneys, clients, staff, and outside contacts.
- Excellent organizational skills including record keeping, data collection, and system information.
- Collaborates well with others in a team-oriented environment while also thriving with independent work.
- Strong experience with reading, writing, grammar, spelling, punctuation, proofreading, and formatting.
