Responsibilities
- Manage the front desk operations, greeting visitors and directing them appropriately.
- Handle incoming calls with professionalism and courtesy, demonstrating excellent phone etiquette.
- Maintain calendars, schedule appointments, and coordinate meetings for staff members.
- Perform office management tasks including filing, data entry, and maintaining organized records.
- Utilize Google Suite for document creation, spreadsheets, and presentations as needed.
- Assist with proofreading documents to ensure accuracy and professionalism in all communications.
- Support financial tasks using QuickBooks for invoicing and basic accounting functions.
- Collaborate with team members to ensure efficient office operations and assist in various administrative projects as required.
Requirements
- Proven experience as a receptionist or administrative assistant is preferred.
- Proficiency in Google Suite applications (Docs, Sheets, Calendar).
- Familiarity with QuickBooks is a plus but not mandatory.
- Strong organizational skills with the ability to multitask effectively.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Experience with office management duties including file organization and phone systems is desirable.
