The Event Lead executes all aspects of event design, planning and production, both in house and off site. The lead plays a crucial role in every event by working directly with the client and also the staff of the Events department as well as any outside vendors to execute each event as contracted with a focus on creating exceptional experiences that will result in repeat and referral business. As part of their role in service to the client, the lead ensures both the staff and the facility are prepared and ready prior to the start of each event.
DUTIES:
As it is not possible to list every duty related to this position, following is a list of the primary duties and responsibilities of the Event Lead. Other duties may arise now or in the future that would fall under this position.
Event Planning and Production:
Direct Client Services:
- Meet with each client a minimum of two weeks prior to their event to determine and confirm all aspects of event design and production
- Maintain ongoing communication with client as needed to successfully produce each event
- Review event contracts for accuracy and completeness prior to contacting client
- Review and update calendars for each available rental space and all off-site events with details for each event in a timely manner
- Refer client back to sales person if significant changes are requested during planning meetings
Manage Staff of Events Department During Events With Specific Focus on:
- Execute all events in a manner that ensures customer satisfaction
- Direct onsite production of events as needed- audio/visual set-up, décor, tables and chairs, etc.
- Ensure BWP is within the written contract for events at all times
- Follow all applicable laws and statutes, particularly with respect to ordering and serving alcohol
- Assist General Manager to train and test staff regularly on responsible alcohol service, proper serving techniques and etiquette, ensure staff progresses in their ability to serve the client
- Prepare for and attend weekly BEO meeting for planning/review of needs and review of completed events
Facility:
- Perform frequent walk of campus to verify no visible safety/health hazards and/or maintenance items need to be addressed. If items are found, notify Facilities Director to schedule repairs
- Assist Facilities staff as needed for us to be tour ready at all times. Rooms to be completely set or empty at all times
- Assist General Manager to train staff to pay special attention to keeping the building secure and safe at all times
- Maintain knowledge of inventory of events related items- tables, chairs, linens, etc. Request replacement of worn or damaged items as needed
Available shifts and compensation: We have available shifts all days of the week. Compensation depends on your experience.
