ABOUT THE ROLE

We’re looking for an inspired hospitality leader to join our team as the Hotel Front Office Manager! As a Front Office Manager, you will oversee and support the front office to ensure compliance with company operating procedures, brand standards, and overall guest satisfaction. You will train and manage staff, supervise administrative duties, and address customer complaints and queries. You will also play a key role in making sure all front desk staff are creating a positive first impression for guests and are the face of the establishment.

Essential Duties:

  • Lead and manage the hotel front office including guest services and resort activities.
  • Ensure that front desk staff operates efficiently and effectively by monitoring guest check-in/check-out procedures, guest communications, and the consistency and quality of guest rooms.
  • Coordinate routine meetings to ensure guest experience and provide coaching experiences for staff.
  • Strong supervisory skills; ability to appropriately assign/delegate work and authority to others in the accomplishment of goals; provide coaching, advice, and assistance as required; help subordinates overcome obstacles and deal with problems.
  • Knowledge of safety management principles; federal and state OSHA regulations; safety, emergency, and accident policies and procedures.
  • Responsible for the Front Office’s financial performance, enhancing revenue opportunities and managing expenses.

Specific Requirements of this role:

  • Directly supervise front desk employees and assist in the supervision of housekeeping employees.
  • Create schedules for employees.
  • Ensure the front desk maintains accurate and up-to-date guest information.
  • Ensure prompt and effective responses to guest requests and complaints.
  • Resolve guest billing discrepancies.
  • Coordinate and schedule a routine meeting to identify strength and coaching opportunities within the staff.
  • Understand employee and guest satisfaction results and communicate game plans to address need areas and expand on the strengths.
  • Oversee the Property Management System including the Accounts Receivable Ledger, Deposit Ledger, and Guest Ledger.
  • Maintain departmental budget and staffing levels in relation to occupancy levels.
  • Maintain accurate payroll and employee records.
  • Ensure full compliance to the hotel’s operating controls, SOP’s, policies, procedures, and service standards.
  • Recruiting/hiring, training/development, scheduling, and progressive discipline of employees in compliance with company policies.
  • Ability to communicate with employees in English and Spanish
  • Act as the Manager on Duty as designated by the General Manager.
  • Able to use repetitive hand and body motions such as grasping, writing, typing, listening, hearing, and visual acuity.
  • Able to walk, including climbing stairs, and ladders, standing to a significant degree, kneeling, reaching, bending, handling machinery, lifting, feeling, talking, hearing, and see.
  • Able to stand for long periods of time or for the duration of a shift.
  • Perform other duties as assigned.

Qualifications


Qualifications

  • High school diploma or GED.
  • A minimum of 3-5 years of hotel Front Desk experience.
  • At least 2 years supervisory or team management experience at a hotel (Front Desk preferred)
  • Strong communication skills; able to effectively communicate tasks to staff effectively and respectfully.
  • Proficient in Microsoft Office and relevant computer systems (hotel PMS, CRM).
  • Ability to work a flexible schedule including evenings, weekends, and holidays.
