What are the responsibilities and job description for the Outreach Coordinator position at Bridging the Gaps?
Bridging the Gap's Marketing and Admission team is expanding and looking to add an Outreach Coordinator. The ideal candidate would play a vital role in expanding our presence within the community, build and maintain relationships with potential referral sources, and generating awareness of our services. This position requires strong communication skills, a passion for helping others, and the ability to develop and maintain partnerships that contribute to the growth and success of our treatment programs.
Community Outreach & Relationship Building:
- Develop and implement outreach strategies to educate potential referral partners about our programs and the services we offer for individuals struggling with substance abuse.
- Attend networking events, conferences, and community meetings to represent the facility, build partnerships, and establish a strong community presence.
Marketing & Awareness Campaigns:
- Collaborate with the marketing manager to develop and execute campaigns that promote our services and engage the community, including social media outreach, print materials, and local advertising.
- Identify opportunities for public speaking, workshops, and educational events within the community to further our mission and generate awareness.
- Collect feedback from the community and referral partners to refine outreach strategies and messaging, ensuring it aligns with the needs of the population we serve.
Referral Coordination:
- Serve as the primary point of contact for external referral sources, responding promptly to inquiries and maintaining an organized system for tracking referrals.
- Follow up with referral partners to ensure smooth transitions and that individuals seeking treatment receive the necessary information to make informed decisions.
- Track and report referral data, outcomes, and trends to leadership, making recommendations for process improvements.
Developing New Partnerships:
- Identify and pursue new partnership opportunities within local communities, including collaborating with schools, recovery-focused groups, and employers to expand referral networks.
- Research and explore alternative avenues for outreach, such as digital marketing, community outreach programs, and collaborations with businesses in the area.
Educational Resource Management:
- Create and distribute educational materials that provide information about substance abuse, treatment options, and our programs to potential clients, referral partners, and community groups.
- Stay updated on the latest trends, research, and best practices in substance abuse treatment and recovery to enhance outreach efforts and community education.
- Maintain a strong line of communication with the clinical team to understand the programs and services offered, ensuring outreach efforts are aligned with client needs and our treatment approach.
Support the Admissions Process
- Work closely with the admissions director to ensure that referred individuals are efficiently transitioned into the treatment process, offering support where needed.
- Field admissions calls, as needed, to pre-qualify leads for the admissions director and provide a warm hand off for lead conversion.
- Follow up on leads that have qualified but have not converted, as needed.
- Support the onboarding of new clients including providing administrative support for the completion of surveys and consents. Provide new client orientation, as needed.
Client Transition and Discharge Liaison:
- Assist clients and their families with any questions or concerns before, during, and after treatment transitions to ensure they feel supported and informed.
- Coordinate with the team to ensure smooth transitions and discharges including ensuring all necessary paperwork and documentation are completed.
- At the time of transitions, ensure the completion of client satisfaction surveys and family satisfaction surveys. Also ensure that financial agreements have been coordinated and signed.
- Provide exit interviews when possible. Ensure communication about the Vista Outcomes program. Support the clinical team to provide appropriate referral sources for discharging clients.
Alumni Engagement:
- Support the clinical team in post-discharge contacts to ensure clients are supported through their discharge from the program and have access to community resources.
- Organize and support an alumni group with regular activities and opportunities to engage with current clients to provide ongoing support for clients who have completed the program.
Documentation and Recordkeeping:
- Maintain accurate and organized records of client interactions, inquiries, and follow-ups in the center’s database.
- Ensure that all client information is handled with confidentiality and in compliance with HIPAA regulations.
- Track and monitor client needs and service requests to ensure timely follow-up and resolution.
Collaboration and Teamwork:
- Support the team by preparing materials for new clients, answering phones, and assisting with other administrative tasks as needed.
- Collaborate with various departments, including admissions, clinical staff, and marketing, to ensure the best service is provided to clients.
- Maintain open communication with team members to help facilitate a smooth and efficient work environment.
Qualifications
- Strong leadership and social work skills
- Excellent public speaking and communication abilities
- Proficient in marketing and outreach coordination
- Familiarity with social media management
- Experience in administrative tasks, and recruiting
- Ability to take initiative, work autonomously and independently at times
- Knowledge of addiction counseling and substance abuse treatment from an abstinence based, holistic and integrative philosophy
- High school diploma or equivalent required with experience in outreach and/or marketing
- Abilities to communicate courteously and professionally with the public and staff and to maintain confidential information
- Passion in working in an environment to support those affected by the disease of addiction
- If applicant declares self to be recovery, s/he must be free of mood altering dependency for at least two years.
- Ability to pass random drug screens and be free of all mood altering substances.
- Ability to pass a fingerprint background check.
Job Type: Full-time
Pay: $39,000.00 - $45,000.00 per year
