The Geography Department Office Manager is integral in creating a welcoming place of safety and belonging for all our faculty, students, and staff. What You'll Do In This Position
Financial Management
- Oversee department budgets and financial transactions, including accounting for purchases related to day-to-day operations
- Facilitate faculty research account spending and reconciliation
- Oversee scholarship and endowment accounts and distribution, including monitoring of Experiential Learning Funds
- Approve purchases and reconcile expenses
- Proxy and/or approve expense reports for faculty
- Maintain stewardship over department purchasing card, university campus cards, and travel cards for faculty
- Support faculty recruitment and hiring, including full-time and adjunct faculty interview processes
- Manage HR system needs for student employees
- Provide advisement and internship support as needed
- Serve on department, college, and university committees as requested by administration
- Provide support for Cartography and ThinkSpatial student mapping services and for Weather Station data gathering
- Oversee a small team of student office assistants, including hiring, training, and ongoing development and mentoring
- Provide administrative assistance to department chair including rank & status, stewardship, scholarships, outreach, etc.
- Prepare and submit academic course schedules for each semester and term
- Serve as records management liaison
- Handle all alumni outreach and public relations, including updating department website and social media
- Purchase and inventory office supplies
- Organize department events and lectures, including all decisions related to scheduling, venues, catering, publicity, and advertising
- Coordinate both student and faculty travel, including travel spend approvals, obtaining flights, lodging, and transportation, and supporting expense reports after travel
What qualifies you for this role:
- A firm commitment to the mission of BYU
- 2 years of college and 3 years office experience, or equivalent combination of education & experience
- Basic computer skills and financial knowledge
- Office management and organizational experience
- Public relations skills, including ability to interact with students, faculty, alumni, and university personnel
- Ability to quickly and effectively adapt to changing circumstances
- Strong organizational skills and ability to manage multiple projects with a detail-oriented mindset
- Self-motivated, with ability to solve problems creatively and effectively
- Ability to maintain confidentiality and discretion when dealing with sensitive information
- Bachelor's degree and 3 years on-campus office experience, or 5 years of off-campus office experience
- Familiarity with Workday and university policies and procedures
