Job Description
CFAC Advisement Office Manager
The primary purpose of this position is to establish an office manager dedicated exclusively to supporting the functional needs of the Advisement Center in the College of Fine Arts and Communications. The office manager is responsible for sustaining clerical needs (reports, financials, meeting minutes, etc.) and for overseeing student employees.
What you'll do in this position:
Support student employees:
- Provide initial and ongoing student employee training
- Provide potentially long-term consistency as student employees come and go (due to missions, graduation, etc.)
- Maintain continuous front desk services and coverage
- Work alongside student employees when possible
- Cover student work shifts in case of sickness/emergency
- Participate in student employee hiring interviews and selection
- Coordinate and communicate with other office manager in providing mentoring and support to student employees including providing back-up coverage for other office manager in case of sickness/emergency
Maintain office reports :
- Dean's report
- Dean's List
- Coordinate with other office manager
Contribute to weekly Advisor Meetings:
- Prepare agendas
- Represent office assistant’s needs
- Attend meetings
- Take minutes
- Send reminders regarding follow-up items/action points
Communications and other Duties:
- Manage budget/Chrome River
- Coordinate office correspondence
- Coordinate equipment maintenance, stock office supplies
What qualifies you for this role:
Required:
- Minimum 2-year combined experience as a student and as an office employee in higher education
- Aptitude for understanding, mentoring, and working well with student employees
- Ability to contribute to a unified team effort
- Sense for effective time management, ability to take initiative, be self-motivated, and meet deadlines without direct supervision
- Level of knowledge and competence in the area of student services; familiarity with the BYU website, BYU policies and procedures; knowledge and understanding of the BYU community
- Ability to instruct and manage others, motivate their performance, and resolve conflict
- Good communication skills in assisting students, parents, colleagues, faculty, administrators, etc.
- Pleasant and professional presence in an office setting; excellent customer service
- Ability to assess triage needs at the reception desk
- Ability to remain calm and helpful in interacting with distressed students
- Strict sense of organization and efficiency; ability to multitask
- Excellent writing skills
- Ability to function productively during peak busy seasons as well as potentially lighter seasons
- Computer experience and proficiency in basic office computer programs (i.e.: Microsoft Word, Outlook, Excel, etc.)
- Skills using basic office equipment (i.e.: copy machines, scanners, printers)
- Basic accounting ability
- Familiarity with telephone etiquette and protocol
Preferred:
- Bachelor’s degree in related field

Compensation Range
Actual compensation based on education and experience
