Position Summary:
The Inventory Specialist is responsible for managing Requests for Quotes (RFQs), maintaining email communications, processing customer orders, overseeing inventory, and preparing shipping documentation. This role ensures smooth coordination among internal teams and accurate fulfillment of customer requests while maintaining organized records and proactive communication.
Key Responsibilities:
RFQs (Requests for Quotes):
- Print and organize all RFQs from emails.

Use ILS to match RFQ items and determine items eligible for immediate quoting.
- Requote items quoted within the last six months.
- Process hardware items (e.g., screws, nuts, bolts) for spot quoting.
- Compile complex RFQ items for further quotation.
- Send finalized quotes to customers promptly after review.
Email Management:

Monitor and maintain email correspondence throughout the day.
- Print RFQs, orders, and other relevant documents.
- Address customer inquiries and concerns, including providing photos as needed.
Order Processing:
- Print customer orders from emails.
- Conduct Screenings for companies and contacts.
- Use ILS to analyze items being ordered.
- Coordinate classification of items (ECCN/Schedule B) with Manager

Ensure inventory allocation:
- Collaborate cross departmental for pulling white cards and routing files to the shipping department.
- Verify inventory
- Address inventory issues as identified and route files for review.
- Finalize order files and place them in bin for archiving.
Inventory Management:
- Update white card quantities after shipments.
- Maintain detailed inventory comments (e.g., paint chipped, cracking).
- Store and organize customer-requested inventory photos in the X-Drive.
- Verify inventory counts and update systems accordingly.
- Support quoting efforts by managing requests for photos and labels.
Shipping Coordination:
- Prepare and organize shipping documentation for the shipping team.
Qualifications:
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Proficiency with systems such as ILS and familiarity with inventory management processes.
- Attention to detail in documentation and record-keeping.
- Effective communication skills for customer interactions and internal coordination.
- Familiarity with export classifications (ECCN/Schedule B) and shipping processes preferred.
