POSITION SUMMARY
The Senior Administrative Assistant plays a vital role in supporting senior leaders at BrightHouse, ensuring smooth day-to-day operations, anticipating needs, and proactively managing tasks in a fast-paced, client service-oriented environment. Sitting between the roles of Administrative Assistant and Executive Assistant, this position involves a balance of high-level executive support and general administrative functions, requiring excellent organization, communication, and problem-solving skills.
The ideal candidate is a proactive team player with exceptional attention to detail, strong time management, and the ability to handle competing priorities. They must demonstrate professionalism, discretion, and a commitment to service excellence.
BASIC JOB RESPONSIBILITIES
- Provide high-level administrative support to Directors and senior leadership, managing multiple calendars, scheduling meetings, and coordinating logistics.
- Proactively manage complex scheduling needs, including organizing internal and client meetings, conferences, and travel arrangements.
- Support senior leaders with presentations, reports, and correspondence, ensuring accuracy and adherence to company standards.
- Process expenses, invoices, and timesheets in a timely manner.
- Act as a key point of contact, liaising between executives, clients, internal teams, and external stakeholders to facilitate smooth communication.
- Handle confidential information with discretion, maintaining a high level of professionalism and security.
- Assist with special projects and event planning, ensuring that initiatives are executed efficiently.
- Identify opportunities for process improvement to enhance efficiency in administrative operations.
- Provide backup support for other administrative team members as needed.
PREFERRED QUALIFICATIONS
- Bachelor’s degree or equivalent preferred.
- 3–5 years of administrative experience, with at least 1–2 years supporting senior executives in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience working with Mac products.
- Experience in a professional services or consulting environment is a plus.
