Your Role - Get/Keep Client Organizational & Administrative
  • Act as a versatile support resource for the Regional Managing Director (RMD), willingly taking on a diverse array of tasks and executing on special projects as required, including client service operations tasks and initiatives. (e.g. CTA, revenue realignment).
  • Support the Senior Lead Advisor (SLA) in communicating key metrics to the pod and keeping the team accountable for completing projects/meeting metrics.
  • Arrange and coordinate travel logistics, including flights, accommodation, and transportation for Get/Keep Clients needs.
  • Manage client transition assignments, ensuring timely collaboration with key stakeholders (SLA, Leads, HRBPs). Responsible for bringing the larger team along with communication.
  • Partner with SLA and Business Development Specialists (BDS) to assign new client service team.
  • Assist the RMD and SLAs in scheduling for client-related activities.
  • Plan and execute a wide range of remarkable experiences for clients and prospective clients to help drive client referral metrics.
  • Provide strategic direction for client gifting and partner with Client Service Administrators to execute.


Your Role - Get/Keep People Organizational & Administrative
  • Take on projects from the HRBPs around People and Operations (scheduling development conversations and internal pod communication).
  • Provide strategic and administrative support planning and executing a wide range of remarkable experiences for the team ranging from volunteering, social events, celebrations, retreats, to personalized gifts for teammates, fostering team member bonding and engagement.
  • Arrange and coordinate travel logistics, including flights, accommodation, and transportation for Keep People needs and team retreats.
  • Assist the RMD, SLA and HRBP in scheduling team and people related meetings.
  • Partner with the recruiting team to drive campus recruiting, local intern hiring, including managing project calendars, coordinating intern champions, and ensuring effective collaboration with the recruiting team and other stakeholders to deliver a seamless and impactful intern experience. 
  • Partner with the recruiting team to drive candidate sourcing, conducting initial pre-screen calls, scheduling interviews and candidate communication. 
  • Track and ensure there is follow up and communication around any asks of the team/ teammates.
  • Manage HRIS/payroll platform on behalf of the pods they support, including PTO requests, expense tracking & approval for employee expenses, T&E, marketing and spot bonuses, nonexempt timecard review and approval, and provide monthly/quarterly budget reports to SLA and RMD. Ensure appropriate staffing during peak days for Client Service.
  • Oversee team member movement, including seating arrangements and location assignments.


Your Role - Regional Office Organizational & Administrative
  • Oversee office management, including supply ordering and delivery through vendor partners, managing incoming deliveries and mail distribution, ensuring timely outgoing shipments, and serving as the main point of contact for building service requests and communications from local building management.
  • Oversee project management of office space planning and potential office expansions.


Your Experience:
  • Bachelor’s Degree preferred.
  • 4-6 years of professional work experience in operations; financial services industry is a plus.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) required; Salesforce experience is a plus.
  • Organizational Skills | Effectively prioritize and manage tasks and projects in a fast-paced environment. 
  • Time Management | Plan and organize time for self and others efficiently, ensuring tasks are completed within set timelines. 
  • Takes Initiative | Think and proactively plan and work ahead while being responsive to competing demands and shifting priorities. Able to anticipate needs and provide proactive solutions or proposals. 
  • Attention to Detail | Thoroughly and accurately manage information and tasks while minimizing errors.
  • Communication Skills | Communicate written and verbal information with precision, efficiency, and accuracy.
  • Confidentiality | Show discretion, ensure secure handling of sensitive information and maintain high standards of privacy and trust.
  • This role is an in-office, full-time, and exempt position. We are a work-from-office culture with lots of flexibility. 


Compensation:
  • Pay: $80,000 - $110,000 per year

What to Expect in the Hiring Process


1. Values in Action Self-Assessment - At Brighton Jones we don’t just talk about our values, we live by them! We’ve operationalized our values into observable behaviors and part of the application process includes completing a brief self-assessment on our Values in Action. 


2. Initial Interview - This 30-min chat with a recruiter or hiring manager gives us a chance to learn about your background and goals and share more about the role and company. 


3. Role Alignment - Next you’ll meet with the hiring manager and a peer (virtual or in-person) to dive deeper into the role, responsibilities, and your transferrable experiences. 


4. Full Loop - You’ll meet the team in two, back-to-back interviews with team members you’re likely to work with. During these conversations, we’ll be listening to examples of your technical skills as well as how core values show up in your experience. There may also be a writing sample, role play, hiring, or technical assessment depending on the position. 


5. Personal Reference Calls - In this final step in the hiring process, you will be asked to arrange 1-2 personal reference calls with past managers of our choosing.
