Job Overview
We are seeking a highly organized and proactive Director's Assistant to provide comprehensive support to our executive team. Duties
- Manage and prioritize incoming communications, including phone calls and emails, demonstrating excellent phone etiquette and proficiency with phone systems.
- Assist with data entry and maintain accurate records as a clerk, ensuring all information is up-to-date and accessible.
- Oversee office management tasks, including supply inventory, equipment maintenance, and general office organization.
- Serve as the front desk representative, greeting visitors and directing them appropriately while maintaining a professional demeanor.
- Utilize DocuSign for document management and facilitate electronic signatures as needed.
- Coordinate event planning activities, including scheduling meetings, arranging logistics, and preparing materials for presentations.
- Proficiently use Google Suite applications to create documents, spreadsheets, and presentations that support various projects.
- Collaborate with team members on special projects as assigned by the director.
Requirements
- Proven experience in an administrative or assistant role, preferably supporting senior executives.
- Strong proficiency in office management practices and procedures.
- Familiarity with DocuSign and Google Suite applications is highly desirable.
- Excellent organizational skills with the ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills to effectively interact with internal teams and external stakeholders.
- A proactive approach to problem-solving with strong decision-making capabilities.
- Ability to maintain confidentiality and handle sensitive information appropriately.
