Description
The Asset Manager is responsible for overseeing asset management processes, ensuring seamless project execution, and supporting portfolio managers and project department. This role involves client engagement, training coordination, financial data management, project tracking, and facilitating reserve studies. The Asset Manager will collaborate with various departments to streamline operations and maintain accurate project data.
Requirements
Client and Portfolio Management:
• Ensure product visibility to clients and Portfolio Managers through direct outreach.
• Train Portfolio Managers on product offerings and facilitate recommendation processes.
• Organize and schedule training sessions for additional staff and partners.
• Meet with interested boards to present the platform and proposal pricing options. Project Coordination and Financial
Management:
• Determine if a prior reserve study exists and assess if an update is required.
• Submit necessary documentation (forms, addendums, proposals) to Corporate Billing.
• Attend and contribute to weekly project department meetings.
• Collaborate with the Project Administrator to track subscription costs and site visit expenses.
• Send Smart Property financial data, reserve study details, and project information for uploading.
• Verify financial information is accurate post-upload, including reserve fund accounts and GL codes, with Board Treasurer/Portfolio Manager input.
Project Tracking and Reserve Study Management:
• Create a project list from studies and coordinate follow-ups.
• Schedule site visits with engineers or the project department.
• Work with the reserve study specialist to ensure data accuracy.
• Maintain and update ongoing component maintenance items.
• Track maintenance points of contact and update email lists accordingly.
Board and Financial Coordination:
• Schedule and conduct 1-hour meetings with boards and managers to review studies.
• Update studies based on meeting outcomes.
• Review funding plans and discuss financing options with boards and managers.
• Prepare financing plans, including assessment and loan options, upon board approval.
• Coordinate with the Loan Coordinator for required paperwork and loan tracking.
• Maintain loan draw tracking to monitor fund disbursements and project expenditures.
Database and Process Management:
• Maintain a client database, including start dates, within the program.
• Track and manage property lists using Monday.com.
• Ensure accepted projects are integrated into the living reserve study for ongoing updates.
• Approve invoices to prevent payment and project delays.
• Work directly with software Vendor for process integration and optimization.
Qualifications & Skills:
• Proven experience in asset management, project coordination, or a related role.
• Strong financial background.
• Proficiency in project tracking tools (e.g., Monday.com) and financial databases.
• Excellent communication and stakeholder engagement skills.
• Ability to manage multiple projects simultaneously and meet deadlines.
• Strong analytical and problem-solving abilities.
Work Environment:
• Remote flexibility.
• Occasional evening board meetings required.
• Collaboration with cross-functional teams, including accounting, portfolio management, project management, and client services.
