Description
The Assistant Portfolio Manager helps to oversee the daily operations and management of multiple properties, working closely with the Portfolio Property Manager to achieve property management goals. This role requires but is not limited to a balance of administrative management expertise, and client relationship management.
Requirements
PRIMARY RESPONSIBILITIES
Assist in managing the day-to-day operations of properties, ensuring adherence to management contracts and governing documents.
Assist in the development of the client budgets, ensuring approval and notification are completed in a timely manner.
Prepare memos and broadcast messages with Portfolio Manager, Associate Director, and/or Associate Vice President overview.
Assist in the preparation of RFPs under the supervision of the Director; send RFPs to vendors and liaise between vendor and Board.
Assist in the review and analyzing of monthly financial statements, preparing narratives to highlight key financial issues.
Serve as a secondary liaison with trustees, attorneys, auditors, and vendors, etc.
Maintain and update Vantaca as needed.
Assist in the organization and preparation of materials for Board and unit owner meetings.
Attend and assist with the facilitation of Board and Annual Unit Owner Meeting
Assist in overseeing vendor activity to ensure work is being performed within the contractual agreement (landscaping, snow removal cleaning, etc.)
KEY PERFORMANCE INDICATORS
Satisfactorily complete of tasks as assigned within deadlines imposed by supervisor(s).
Satisfactorily respond to homeowner inquiries within 24 business hours via phone or email.
High client satisfaction and retention rates
Successful completion of CAI courses to obtain professional designations such as CMCA, AMS and PCAM.
FUNCTIONAL & TECHNICAL EXPERTISE
Bachelor’s degree in Business Administration, Property Management, or related field.
Must be able to interact with clients, the public, vendors and co-workers in a professional and pleasant manner at all times.
Person must also be able to take direction from multiple individuals and prioritize duties while keeping a level head.
Strong financial analysis and budgeting skills.
Excellent communication and interpersonal skills.
Proficiency in property management software
Ability to assist in the management of multiple properties and multitask efficiently.
