POSITION:
Encumbrance Clerk
RESPONSIBLE TO:
Superintedent
ESSENTIAL DUTIES:
- Process and input all appropriations.
- Process and input all purchase requisitions and approve district site purchase orders.
- Process site and grant budgets
- Maintain digital and physical purchasing files.
- Distribute financial reports as required.
- Attend workshops and school business finance classes to enhance knowledge of state statutes and meet requirements for continuing education.
- Help maintain records for all state and federal programs and grants.
- Track all budgets for coding, clarity, and revision.
- Establish timelines for preparing, processing, and submitting expenditure reports to state and federal agencies for reimbursement to the district.
- Coordinate with administration for monitoring of programs.
- Actively communicate with grant administrators.
- Review grant applications for clarity of district compliance.
- Monitor appropriations and expenditures of district project funds.
- Actively communicate proper coding of expenditures.
- Assist with the district end of year audit.
- Work with child nutrition director and parents to process lunch applications.
- Stays current with state and federal regulations governing Child Nutrition Programs.
- Reviews and processes student meal applications and maintains files for district audit.
- Maintains professional level of confidentiality in regard to student/family information.
- Process and maintain files for required reporting relating to child nutrition.
- Perform other such duties as may be assigned by the supervisor.

EDUCATION REQUIREMENTS:
High School diploma or equivalent required.
OTHER REQUIREMENTS:
Regular attendance following a designated work schedule; must be able to work extended hours and additional days/evenings as required by position responsibilities; must be able to attend and participate in meetings and conferences scheduled.
