What We’re Looking For:

Are you a passionate and energetic individual ready to dive into a rewarding role? We’re looking for a Sales and Customer Service Specialist to enhance customer satisfaction and boost new enrollments. In this exciting position, you’ll manage both inbound and outbound communications, deliver exceptional service, and promote our fantastic swim programs to new families!

Goals of the Sales and Customer Service Specialist Role:

  • Deliver outstanding customer service by creating solutions that retain and delight our customers.
  • Drive enrollments by passionately connecting families with our life-changing swim programs.

Customer Engagement & Sales:

  • Handle inbound and outbound calls, texts, and emails to prospective and current customers.
  • Educate families about our swim programs and match them with the right lessons.
  • Convert leads into enrollments by effectively communicating program benefits.
  • Proactively reach out to new leads, referrals, and past customers to boost enrollments.
  • Follow up with customers to ensure satisfaction and encourage retention.
  • Maintain accurate customer records using our CRM software.
  • Collaborate with our team to continuously improve sales and service strategies.

Administrative & CRM Management:

  • Utilize our CRM (HubSpot/Fresh Desk or similar) for tracking customer interactions, managing leads, and reporting performance.
  • Ensure proper data entry and account management within scheduling software like Jackrabbit.
  • Assist in managing scheduling, enrollments, and other customer-related administrative tasks.

Customer Support & Problem-Solving:

  • Address customer inquiries with professionalism and efficiency via phone, email, and online platforms.
  • De-escalate conflicts and resolve customer concerns with a solution-oriented approach.
  • Maintain a high level of product knowledge to answer questions and make recommendations.
  • Support customer payment processing and financial inquiries when necessary.

Team Collaboration & Strategy Development:

  • Work closely with the teams to refine outreach strategies.
  • Identify areas for improvement in customer engagement and sales processes.
  • Provide feedback and insights from customer interactions to help optimize programs.
  • Assist in developing customer service scripts and training materials for improved communication.

Schedule & Work Environment:

  • Hybrid Work Model: Requires high speed internet remote work capability with occasional in-person office collaboration.
  • Core schedule: Monday-Thursday/Saturday OR Tuesday–Saturday, 9 AM – 5 PM.
  • Expected to attend periodic in-person team meetings or customer engagement events.
  • In-Person Office Collaboration: Required bi-weekly or monthly (based on business needs) at our Louisville office
  • Hands-on training conducted in person at our Louisville, CO office for at least the first 4 weeks of training.
  • Bonus: Bilingual in Spanish or another language is a plus!

Ideal Candidate Profile:

  • 2 years of customer service experience (both in-person and remote).
  • Strong background in phone sales, C2B sales, and lead conversion.
  • Proficiency in Microsoft Office Suite and CRM systems.
  • Previous experience with Jackrabbit scheduling software (or similar) is highly preferred.
  • 1 year of experience using scheduling software is required.
  • Experience handling high-volume calls, texts, and emails daily.
  • Skilled in scheduling, data entry, and multi-line phone systems.
  • Exceptional verbal and written communication skills with the ability to engage effectively with clients.
  • A self-motivated problem solver with a strong drive for success and continuous improvement.
  • Ability to work independently while contributing to team goals.
  • Strong organizational and time-management abilities.
  • Experience in account management, payment processing, and customer retention programs.
  • Proven track record of client retention and relationship management.
  • Ability to adapt, multitask, and thrive in a fast-paced environment.
