What will you be doing?
As the Group Sales Administrative Assistant, you will provide administrative and operational support to the Group Sales team, ensuring seamless coordination of group bookings and events. This role involves handling inquiries, assisting with group packaging, processing payments, maintaining records, coordinating with properties and vendors, and supporting Sales Managers in delivering exceptional service to group clients. This role will assist with duties for our Litchfield locations.

What will you be doing?
As the Group Sales Administrative Assistant, you will provide administrative and operational support to the Group Sales team, ensuring seamless coordination of group bookings and events. This role involves handling inquiries, assisting with group packaging, processing payments, maintaining records, coordinating with properties and vendors, and supporting Sales Managers in delivering exceptional service to group clients. This role will assist with duties for our Litchfield locations.
Group Sales Administrative Assistant responsibilities include, but are not limited to:
- Answering incoming calls and taking detailed inquiries for Sales Managers to follow-up on
- Typing, emailing, data entry, filing, faxing, copying, and taking notes or dictation
- Assisting Sales Managers with group packaging, including coordinating with attractions and restaurants
- Conducting property tours
- Maintaining the group packaging tracking report
- Inputting and updating rooming lists as needed
- Assisting with group resumes
- Creating group invoices
- Monitoring and processing group payments
- Logging group pickup into SalesPro after the group's departure
- Monitoring and updating lead sources, including RFPs, CVENT, and CVB sites
- Coordinating with Brittain properties as directed by Sales Managers or the Senior Director of Sales
- Maintaining sales office supplies and office equipment
- Moving between sales offices as needed to support the sales team
- Performing other duties as assigned by Group Sales Managers or the Director of Group Sales
- Previous hotel experience preferred
- Experience with Delphi or SalesPro preferred
- Previous event sales experience preferred
- Excellent verbal and written communication skills
- Strong problem-solving and creative thinking abilities
- Ability to adapt effectively to significant changes in work tasks
- Active listening skills with the ability to understand and clarify client needs
- Strong multitasking and prioritization skills
- Professional, friendly, and service-oriented approach to all interactions, both in person and over the phone
- Maintains a professional appearance in the workplace
- Ability to compile and analyze facts and figures in a timely manner
- Proficient in operating a computer, calculator, phone, and other office equipment
- Strong time management skills with the ability to work effectively in a fast-paced environment
- Keen attention to detail with a commitment to accuracy and confidentiality
