Key Responsibilities
Sponsored Billing and Invoicing.
- Work closely with the Office of Sponsored Research to ensure timely and accurate set-up and invoicing of awards.
- Lead monthly sponsored research billing activities in accordance with award agreement terms and conditions (i.e. billing based on milestones, periodic payment schedules or as costs are incurred).
- Prepare interim and final sponsored research invoices and submit in accordance with sponsor requirements, which may include detailed expenditure reports, time and effort reports or other special reporting requests.
- Identify, propose and implement potential improvements to billing and invoicing processes.
- Monitor accounts receivable and advance payment balances, apply payments to invoices, and assist with collection of outstanding receivables.
- Escalate issues encountered when attempting to collect outstanding receivable balances in a timely manner.
- Investigate and resolve unidentified sponsor payments in a timely manner.
- Support completion of accurate federal financial reports prior to external deadlines in accordance with federal regulations.
- Manually calculate and prepare journal entries for adjustments to facilities and administration charges on awards, where applicable.
- Work collaboratively with the Office of Sponsored Research during the award closeout process to ensure adherence to sponsor requirements and prepare final reporting deliverables.
- Provide support for the fiscal year-end external audits as it relates to grants and contracts.
- Participate in key areas of the month-end close process, including account reconciliations and preparation of journal entries in accordance with GAAP and Institute policy.
- As necessary, assist with monthly federal letter of credit drawdowns.
- Bachelor's Degree in Accounting or related field.
- Minimum 5 years of billing and invoicing experience, preferably in a not for profit sponsored research organization.
- Knowledge of Uniform Guidance and compliance of sponsored research grants.
- Knowledge of GAAP and general internal controls.
- Proficient with Microsoft Excel and Google Apps.
- Experience with ERP software packages; Oracle Cloud a plus.
- Excellent time management and organizational skills.
- Demonstrated ability to identify and implement process improvements.
- Effective communication and interpersonal skills.
- Attention to detail, ability to work independently, and desire to work in a fast-paced and challenging environment.
- This is a hybrid position requiring a minimum of two days onsite, with flexibility for additional days as needed.
