What are the responsibilities and job description for the Medical Records Specialist position at Broad Top Area Medical Center?
The purpose of this position is to coordinate all aspects of a patient’s visit to Broad Top Area Medical Center, Inc. with respect to the medical records and referral duties as outlined in the guidelines which have been established by the Medical Director and Executive Director.
SPECIFIC RESPONSIBILITIES
· Electronically review patient charts, daily for next day’s appointments as assigned. Review charts for ensuring all required information is included; note any deficiencies and refer to appropriate area for follow-up.
· Sort, scan, and file a variety of medical records and information such as admission slips, laboratory and pathology reports, operative notes, and discharge summaries into electronic patient medical records in appropriate sections.
· Answer written and telephone requests for medical records or information; prepare records for release to patients, providers, and health insurance third party collectors.
· May be required to provide administrative support to management team as needed, including filing, typing, etc.
· Maintain patient records in a professional manner with confidentiality.
· Deliver charts as requested to other sites as needed.
· Attend court hearings as necessary to ensure chain of command for the chart (Medical Record Guardian)
· Manage electronic results interface distribution from EMR to providers to review.
· Manage postage meter, as needed
· Distribution of incoming/outgoing mail & office mail correspondence, as on a need to basis
· Cover Front Desk as needed, as on a need to basis
· Mail Courier – Travel to all office locations, pickup and distribute mail properly, as on a need to basis
· Attend HIPAA compliance training and necessary workshops for Risk Management of Medical Records
· Other duties as assigned.
QUALIFICATIONS
· High School diploma, post-high school education encouraged
· Medical/General Office Experience/Skills
· Strong Customer Service Skills
· Knowledge of Medical Terminology
· Good communication skills with all levels of personnel
· Knowledge of computers and general office equipment
PHYSICAL REQUIREMENTS
- Strength & Stamina: You may be required at times to lift up to 15 pounds, and maybe times of prolonged standing or sitting
- Mobility: Must have the ability to climb stairs, kneel, crouch or reach above shoulder height
- Dexterity: Typing for a long period of time, and operation of other necessary office equipment to perform job
- Vision and Hearing: (Specify if the role requires specific visual acuity (e.g. near or distance vision) or hearing capabilities, especially for safety-sensitive positions.
- Environmental Conditions: Not any environmental factors like working in confined spaces, exposure to extreme temperatures, or outdoor conditions.
- Duration of Physical Activity: Indicate how long physical tasks are performed (e.g. standing for long periods, frequent lifting.) Prolonged periods of sitting at a desk and working on a computer.
